Job Description

The Benefits Manager is responsible for the coordination and administration, on-boarding and off-boarding procedures, employee benefits, unemployment benefits. This position is also responsible for the administration and financial reconciliation of employee benefits. Such administration includes information verification, data entry, account reconciliation, report generation, and problem-solving as needed. Serves a subject matter expert of the benefits area for the company.

Job Roles And Responsibilities

DIRECT FUNCTION

  • Provides counsel and instruction on all benefits, plan provisions, enrollments, status changes, and other inquiries either by in person, digital, or educational materials.
  • Processing request of employees regarding benefits eligibility, adding/separation, claims, and other plan changes in accordance with law, college policy, and applicable union contract. Ensures the accuracy of all benefits enrollments in the HRIS as well as carrier platforms. Performs quality checks of benefits-related data.
  • Administers all leave of absence requests and disability paperwork; medical, personal, disability, Workman's Compensation, and FMLA. Leads ADA or other accommodation reviews. Effectively interprets FMLA and ADA regulations and implications.
  • Leads the employee benefits experience and partners with Payroll including counseling employees on benefits and options, responding to retirement inquiries, processing enrollments, plan changes, and contribution amounts, guiding near-retirees through process, and acting as liaison with provider on retirement issues. Administers all other supplemental benefits (New York Life, Ascensus, CIGNA, etc.)
  • Responsible for communication, education, and other benefits content including web based. Creates the design, awareness, planning, promotion, support, and implementation of health and wellness programs for the purpose of improving employee health and understanding of related subjects.
  • Leads Annual Open Enrollment including process, technology, materials, communications and education - both digital and in person.
  • Evaluates benefits effectiveness, and recommend revisions of plans, to ensure that an appropriate balance between costs and employee welfare is maintained.
  • Coordinates the tuition reimbursement and other educational request submissions, employee engagement, and processing.
  • Ensures compliance while processing Worker's Compensation, Disability through 401k provider, COBRA, and IRS Section 125.
  • Serves as liaison and main point of contact to insurance broker, providers, carriers, and vendors both current and potential. Actively engages resources (401k, HSA, medical providers, etc.)
  • Assists with payment of bills, i.e., life insurance, health insurance, service fees, reinsurance payments, etc.
  • Recommends and implements program metrics and assessments to ensure that health and wellness objectives are met.
  • Perform other job-related duties as assigned.
  • Maintain up to date knowledge of federal and state regulations involving employee benefits including FMLA, ADA, HIPAA, ERISA, ACA and COBRA.
  • Conduct regular audits and reviews of processes, documents, tools, and workflows to ensure data quality, process effectiveness, and compliance with program and regulatory requirements.
  • Possess in-depth knowledge of the company’s policies, particularly related to the benefits.
  • Coordinate audits and compliance activities including non-discrimination testing, Form 5500 filing, and Summary Annual Reports.
  • Maintain in-depth knowledge of wellness plan related regulations, policies, and procedures to ensure compliance with all related federal and state laws.

Qualifications Include

  • Sound knowledge of U.S. Benefits and associated compliance.
  • Excellent quantitative and qualitative analytical skills with proven ability to demonstrate data interpretation that maps back to business terms and outcomes.
  • Possess the ability to generate enthusiasm among diverse constituencies and individuals.
  • Must have the ability to exhibit excellent customer service, integrity, and confidentiality when working with both internal and external customers.
  • Possess outstanding listening and influencing skills and the ability to cultivate trust and credibility among various constituencies.
  • Ability to develop and maintain highly effective relationships both internally and externally.
  • Ability to work collaboratively in a team-based environment.
  • Effective communication skills (verbal and written), including the ability to address small and large groups
  • Familiarity with ADP Workforce Now.
  • Strong vendor management skills.
  • Possess a thorough understanding of compensation practices, organizational hierarchy, jobs, qualifications, and administrative practices related to those factors.
  • Proficiency in MS Office Suite.

Experience

Outlined below are the academic qualifications and length and type of experience deemed necessary by Unique Vacations Inc. in order to perform the role of Benefits Manager competently.

Education: Bachelor’s Degree in Human Resources management or a related field preferred.

Experience: Bachelor’s degree or equivalent with five (5) years or more of related experience or an equivalent combination of education and experience
