Benefits Administrator Assistant

Pay Range

$26.00-$29.00/hourly

Position Summary

The Benefits Administrator Assistant keeps our benefits and leave programs running smoothly behind the scenes. You'll handle the details, including enrollments, data entry, document tracking, and employee questions, so the Benefits & Leave Manager can focus on plan strategy, compliance, and complex leave cases.

Point Quest Group supports educators, clinicians, and staff across our schools, in-district services, and partner organizations. Many of them reach us by email between sessions, so clear, kind, and accurate answers make a real difference to their week.

Key Responsibilities
  • Time splits roughly 50% benefits administration, 35% leave administration, and 15% records and reporting.
  • Benefits administration (about 50%)
    • Process new-hire enrollments, terminations, and qualifying life-event changes in Workday and carrier portals.
    • Track benefit eligibility for new and changing employees, including part-time and variable-hour staff.
    • Support open enrollment: prepare materials, answer questions, follow up on missing elections, and audit changes once submitted.
    • Reconcile monthly carrier invoices against enrollment records and flag discrepancies to the Benefits & Leave Manager.
    • Track ACA eligibility for part-time and variable-hour employees through measurement and stability periods, and support annual 1095-C reporting.
    • Coordinate with our COBRA third-party administrator: report qualifying events promptly, confirm notices went out, and answer employee questions about continuation coverage.
  • Leave administration support (about 35%)
    • Open and track leave cases (FMLA and state leave programs) under the Manager's direction.
    • Enter and update leaves of absence in Workday, keeping dates, leave types, and statuses accurate.
    • Send leave packets, track certification due dates, and follow up on missing paperwork.
    • Return employees from leave: confirm return dates, collect any required fitness-for-duty or return-to-work documentation, process the return in Workday, and refer any accommodation requests to HR.
    • Keep payroll informed of leave start dates, return dates, and benefit deduction changes.
  • Records, reporting, and employee support (about 15%)
    • Know our benefit plans well enough to point employees to the broker's care center for routine benefits questions, help with issues the care center can't resolve, and elevate complex or sensitive issues to the Manager.
    • Maintain accurate, confidential benefits and leave files in line with HIPAA and company policy.
    • Run and maintain Workday reports (open leaves, upcoming returns, enrollment changes, ACA eligibility) for the Manager.
    • Help keep FAQs, how-to guides, and benefits resources current.
