Job description

The Benefits Administrator manages the end-to-end delivery and continuous improvement of employee benefits programs, including health coverage (medical, dental, vision), retirement plans, life insurance, disability programs, and wellness initiatives. This role goes beyond administrative duties, requiring initiative, analytical thinking, and creativity to enhance programs, deliver clear and engaging communication, and create a strong overall employee experience. The position ensures accurate enrollment, recordkeeping, carrier coordination, invoice reconciliation, and regulatory compliance, while providing responsive, high-quality support to employees. The role partners closely with Payroll and HR, including serving as backup for payroll processing and leave coordination.

Duties/Responsibilities

Below are the primary duties and essential functions of an employee in this position.   • Own the end-to-end management of employee benefits programs, including evaluation, design, administration, communication, and continuous improvement across retirement plans, health coverage (medical, dental, vision), life insurance, disability programs, and wellness initiatives.
  • Evaluate and benchmark company benefits against industry standards and proactively provide recommendations.
  • Analyze benefits utilization and proactively recommend enhancements to improve employee experience and cost efficiency.
  • Design and lead innovative benefits communication and education strategies that increase awareness, drive engagement, and elevate the overall employee experience.
  • Lead annual open enrollment and effectively communicate benefit programs to employees.
  • Lead benefits orientation and provide clear, responsive support to employees regarding benefit questions and available resources.
  • Maintain the benefits system and electronic communications with carriers and ensure accuracy and efficiency.
  • Reconcile and approve monthly benefit invoices.
  • Ensure compliance with ERISA, ACA, COBRA, HIPAA, and other applicable regulations.
  • Partner with Payroll Administrator to file and distribute ACA forms (1094-C and 1095-C).
  • Maintain accurate employee benefits records and process benefit enrollments, life events, and terminations within expected timeframes.
  • Act as a primary liaison with benefit carriers to resolve employee issues and ensure accurate data exchange.
  • Provide exceptional customer service by responding to employees with clarity, empathy, and professionalism within expected timeframes.
  • Maintain strict confidentiality of sensitive employee, payroll, and benefits information.
  • Partner with Payroll Administrator to ensure accurate benefit deductions, reconciliations, and reporting.
  • Serve as a backup to the Payroll Administrator and process payroll one time per month as assigned, including payroll data entry, timekeeping system maintenance, verification of employee leave balances, and support for bi-weekly payroll processing when necessary.
  • Ensure accuracy of UKG leave management system in collaboration with HR Consultants and Payroll Administrator.
  • Develop, maintain, and update benefits policies, procedures and standard operating procedures to ensure efficiency, consistency, and compliance.
  • Continuously improve and optimize processes by strengthening system integrity, streamlining administration, and identifying innovative ways to enhance efficiency and employee experience.
  • Other duties as assigned.
Physical Requirements
  • Occupational Exposure Risk Classification: The normal work routine involves minimal exposure to blood, body fluids or tissues.
  • The normal work routine has a minimal ergonomic risk for repetitive motion impairment.
  • The position may require a minimal amount of physical exertion (bending, lifting, twisting) in the work area.
Required Qualifications
  • Education: High School Diploma or GED required. Bachelor’s Degree in Human Resources, or related field preferred.
  • Experience: Requires two (2) years of Benefits Administration experience.
  • Certificate or Professional License: SHRM-CP or SHRM-SP preferred.
  • Satisfactory results from criminal and driving record background checks
