Job description

A well-established manufacturing organization in the Edinburgh area is seeking an experienced Benefits and Payroll Administrator to join its Human Resources team.

Reporting to the Humam Resources Director, this position offers broad exposure across benefits, payroll, HRIS, leave administration, onboarding, compliance, and employee support. The successful candidate will lead day-to-day benefits and HR administration activities, serve as a backup payroll administrator, and work closely with employees, supervisors, and HR leadership to ensure accurate, efficient HR operations in a manufacturing environment.

What You'll Do
  • Manage the day-to-day administration of employee benefit programs, including medical, dental, vision, life, disability, and retirement plans.
  • Serve as a primary resource for employees regarding benefit programs, eligibility, enrollment, coverage, and issue resolution.
  • Coordinate annual open enrollment, including employee communications, system updates, enrollment processing, and reconciliation.
  • Maintain accurate benefit elections, eligibility records, and employee data within the HRIS, ensuring deductions and enrollments are properly reflected in payroll.
  • Partner with benefit providers, brokers, and third-party administrators to resolve issues, coordinate changes, and maintain effective service relationships.
  • Process and reconcile benefit-related invoices and partner with Payroll and Finance on deductions, payments, expenses, and annual budgeting.
  • Support benefit renewals by reviewing plan information, evaluating costs, and identifying opportunities for improved coverage and cost management.
  • Administer employee leave programs, including FMLA, ADA accommodations, personal leave, and other applicable requirements, while coordinating with third-party administrators as appropriate.
  • Provide employees and managers with guidance regarding leave eligibility, documentation, responsibilities, and return-to-work requirements.
  • Support the ADA interactive process and coordinate reasonable accommodations in partnership with HR leadership and management.
  • Maintain accurate and confidential employee records and ensure benefits and leave documentation meets applicable regulatory and company requirements.
  • Provide administrative support for broader HR activities, including policy administration, employee relations matters, employment law compliance, and required HR recordkeeping.
  • Manage employment eligibility verification and I-9 administration in accordance with applicable requirements.
  • Assist with benefits-related audits, reporting, and required documentation.
  • Conduct benefits orientations and develop clear employee communications, guides, FAQs, and other educational materials.
  • Identify opportunities to improve benefits and leave processes, strengthen accuracy and compliance, and enhance the employee experience.
  • Serve as a backup for payroll administration, including payroll processing, review, reconciliation, and related activities; provide coverage during absences and assist with payroll questions or discrepancies.
  • Partner with HR and Finance to ensure accurate and timely payroll-related data and transactions.
What You Bring
  • 5–10 years of progressive HR experience, preferably within a manufacturing, plant, or other operational environment.
  • 5+ years of hands‑on employee benefits administration experience.
  • Associate's or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • Experience with payroll processing and serving as a payroll backup.
  • Hands‑on experience with ADP, including HRIS, benefits, payroll, and Time & Attendance.
  • Strong knowledge of employee benefit programs, enrollment processes, eligibility, and administration.
  • Working knowledge of FMLA, ADA, ERISA, ACA, COBRA, and other applicable benefits, leave, and employment regulations.
  • Experience working with benefits vendors, brokers, third‑party administrators, and insurance providers.
  • Familiarity with I-9 and employment eligibility requirements.
  • Strong attention to detail and the ability to manage confidential employee information.
  • Excellent communication and interpersonal skills with the ability to support employees at all levels.
  • Strong organizational, analytical, problem‑solving, and follow‑through skills.
  • Proficiency with Microsoft Office, particularly Excel
