Job summary

South Coast Community Services is seeking a Manager of Intake Operations in California to oversee Behavioral Health Intake Specialists and the scheduling team. You will supervise onboarding, training, and performance, while ensuring accurate payer verification and compliant documentation across Medi‑Cal and commercial lines.

You will drive process improvements, manage staffing to maintain access standards, and report weekly on conversion and quality metrics.

Qualifications

• Bachelor’s degree in psychology, social work, healthcare administration, public health, or related field.
• Minimum three years in behavioral health, healthcare, or social services with supervisory/lead experience.

Responsibilities

• Supervise Behavioral Health Intake Specialists, including hiring, onboarding, scheduling, performance management.
• Design and deliver ongoing training on payer workflows, call quality, and program knowledge refreshers.
• Conduct regular one‑on‑ones and maintain coaching documentation.
• Manage staffing across intake hours to maintain service continuity and access obligations.
• Own referral-to-conversion rate and monitor weekly performance; intervene as needed.
• Lead monthly call reviews against SCCS standards and provide feedback.
• Ensure accurate program representation, payer routing, and insurance verification.
• Oversee intake coverage across all contact channels (phone, fax, email).
• Manage intake workflow documentation for Medi‑Cal and managed care processes.
• Lead process improvements and system integrations for intake efficiency.
• Maintain compliance with HIPAA and data integrity for audits.
• Oversee scheduling to minimize gaps in care and track performance.
• Produce regular performance reports for leadership.
