Job summary

Kaniksu Community Health in Idaho seeks a part-time Behavioral Health Administrative Assistant to provide exceptional patient service while handling essential administrative tasks. You will be the first contact for behavioral health services, answer calls, share information, coordinate referrals, and document all communications in the EHR.

You will support scheduling, provider panels, and referral capacity, while maintaining HIPAA confidentiality and contributing to process improvements and PCMH

Qualifications

  • High School Diploma or GED required.
  • Combination of education and relevant experience may be considered.
  • Previous administrative experience required.
  • Previous experience in a healthcare, behavioral health, or medical office setting preferred.
  • Experience using an Electronic Health Record (EHR) system preferred.

Responsibilities

  • Serve as the first point of contact for patients and community members seeking behavioral health services.
  • Answer incoming telephone calls promptly and professionally.
  • Provide information regarding available behavioral health services.
  • Demonstrate patience, empathy, and professionalism when assisting individuals experiencing behavioral health concerns or crisis situations.
  • Coordinate referrals to appropriate internal or external resources.
  • Document all patient communications accurately in the electronic health record (EHR).
  • Conduct initial patient-facing evaluations.
  • Maintain and manage behavioral health provider schedules.
  • Schedule, reschedule, and cancel appointments as needed.
  • Collaborate with providers and the Director of Behavioral Health to monitor provider panels and referral capacity.
  • Maintain and update community behavioral health resource directories.
  • Assist with departmental administrative projects.
  • Support implementation of new workflows and process improvements.
  • Identify opportunities to improve efficiency and patient experience.
  • Participate in departmental meetings and organizational initiatives.
  • Support the healthy growth and development of the Behavioral Health Department.
  • Maintain strict confidentiality in accordance with HIPAA regulations.
  • Follow all Kaniksu Community Health policies and procedures.
  • Maintain accurate documentation and records.
  • Participate in quality improvement initiatives and organizational performance improvement activities.
  • Support Patient-Centered Medical Home (PCMH) principles through coordinated, patient-focused care.

The Kaniksu Community Health Behavioral Health Administrative Assistant is not just responsible for providing excellent customer service. YOU ARE an essential team member charged with assisting patients in managing their care at Kaniksu Community Health.

A typical day might of the Behavioral Health Administrative Assistant might include;

  • Serve as the first point of contact for patients and community members seeking behavioral health services.
  • Answer incoming telephone calls promptly and professionally.
  • Provide information regarding available behavioral health services.
  • Demonstrate patience, empathy, and professionalism when assisting individuals experiencing behavioral health concerns or crisis situations.
  • Coordinate referrals to appropriate internal or external resources.
  • Document all patient communications accurately in the electronic health record (EHR).
  • Conduct initial patient-facing evaluations.
  • Conduct care surveys at regular intervals to monitor patient experience and outcomes.
  • Maintain accurate and up-to-date CCBHC critical data.
  • Maintain and manage behavioral health provider schedules.
  • Schedule, reschedule, and cancel appointments as needed.
  • Coordinate schedule adjustments when providers are unavailable.
  • Collaborate with providers and the Director of Behavioral Health to monitor provider panels and referral capacity.
  • Update provider panels with appropriate referrals.
  • Maintain and update community behavioral health resource directories.
  • Assist with departmental administrative projects.
  • Support implementation of new workflows and process improvements.
  • Identify opportunities to improve efficiency and patient experience.
  • Participate in departmental meetings and organizational initiatives.
  • Support the healthy growth and development of the Behavioral Health Department.

Experience Needed to Land this Gig:

  • Excellent customer service skills.
  • Strong verbal and written communication skills.
  • Bilingual English/Spanish preferred.
  • Keyboarding skills of at least 35 words per minute.
  • Proficiency with Microsoft Office applications and standard office equipment.
  • Ability to maintain strict confidentiality.
  • Knowledge of HIPAA privacy and security regulations.
  • Strong organizational and time management skills.
