Employment Status: Full-Time (35 hours) / Year-Round (Including Summer Programs)
The Quaboag Regional School District is seeking a dedicated leader to serve as our Before and After School Coordinator. This role oversees both our "Beyond the Bell" childcare program and our grantfunded 21st Century Community Learning Centers (21st CCLC) programs. The Coordinator manages daily program operations while ensuring strict compliance with 21st CCLC grant requirements. Responsibilities include accepting and processing student applications, overseeing data collection, managing staff schedules, and collaborating with school administration and community partners to support student success.
Beyond the Bell Program Management
Manage Daily Operations: Direct daily programming for Beyond the Bell at Warren Community Elementary School, ensuring a safe, structured, and compliant childcare environment. Works with Beyond the Bell’s Bookkeeper to make sure all payments have been received and monitors expenses to stay within the program’s budget.
Maintain Regulatory Compliance: Ensure all program activities, policies, and health and safety procedures comply with state and federal regulations for out-of-school-time childcare.
Staffing & Shift Coverage: Schedule personnel to ensure full shift coverage across program sites while maintaining state-mandated student-to-staff ratios.
Support Personnel Recruitment: Assist building principals with interviewing, selecting, and hiring program staff and if needed certified educators.
Manage Applications & Enrollment: Prepare, distribute, and process student applications for both the school year and summer program sessions.
Coordinate Family & School Communication: Engage directly with parents regarding enrollment and program updates, while drafting clear, professional communications for district channels and school administrations.
District Coordinator – 21st CCLC Responsibilities
Supervise Site Coordinators: Oversee, mentor, and evaluate the Site Coordinators at each program location to ensure consistent program quality, proper day-to-day operations, and smooth staff management.
Ensure Federal & State Compliance: Oversee the planning, implementation, and overall regulation of grant-funded afterschool and summer programs to ensure strict adherence to state and federal 21st CCLC requirements.
Drive Academic Enrichment: Execute and monitor daily program schedules that integrate highquality academic remediation, homework intervention, and youth development aligned with core district curriculum and grant goals.
Lead Grant Data & Program Evaluation: Manage the end-to-end data process for the 21st CCLC grant; this includes verifying daily student attendance logs, tracking enrollment metrics, and coordinating the distribution and collection of mandatory state evaluation surveys (such as the Massachusetts SAYO teacher, staff, and youth surveys) to ensure continuous grant compliance.
Measure Program Impact: Monitor and analyze key performance metrics, including daily student enrollment, participation trends, academic growth, and behavioral data, to ensure the program effectively improves student achievement.
Participate in Professional Development: Attend mandatory state, regional, and federal professional development sessions and grant meetings as required, including both onsite workshops and offsite training events.
Education & Experience
Degree: Bachelor’s degree in Education, Child Development, or a closely related field is highly preferred.
Experience: Minimum of 2 to 3 years of experience managing before and after school programs, youth recreation, or grant-funded educational programming.
Grant Familiarity: Proven experience navigating 21st Century Community Learning Center (21st CCLC) grant requirements and federal data reporting frameworks is highly desirable.
Certifications, Clearances & Skills
Required Clearances: Must successfully pass comprehensive state-mandated background checks, including fingerprinting, Criminal Offender Record Information (CORI), and Sex Offender Registry Information (SORI) reviews.
Health & Safety: Current CPR and First Aid certifications are preferred; possession of state childcare director credentials is also preferred.
Technical Proficiency: Demonstrated experience working with student information systems (SIS), data spreadsheet tracking, and state educational data collection portals.
