Job summary

AscendHire is seeking an Order Management & Fulfillment Coordinator in New York City to oversee end-to-end order processing, from receipt to delivery, coordinating with Sales, 3PLs, and internal teams.

Ideal candidates have 3+ years in a B2B order environment, strong Excel and ERP experience (NetSuite preferred), and exceptional organizational skills to ensure accuracy and timely invoicing.

Qualifications

• 3+ years in order management, fulfillment, or logistics.
• Experience with B2B orders and cross-functional collaboration.
• Proficiency with ERP systems and Excel.
• Experience with NetSuite is preferred.

Responsibilities

• Process and manage customer purchase orders from receipt through shipment and invoicing.
• Review orders for accuracy, pricing, inventory availability, shipping requirements, and customer-specific instructions.
• Coordinate daily with third-party logistics providers, warehouses, carriers, and transportation providers.
• Schedule shipments and prepare shipping documentation, including Bills of Lading.
• Monitor inventory availability and coordinate product allocations, back orders, and order adjustments when necessary.
• Track shipments and communicate order status, delays, and delivery updates.
• Resolve shipping discrepancies, shortages, damages, back orders, and other order related issues.
• Generate invoices and maintain accurate customer and order information within the ERP system.
• Maintain supporting documentation related to customer orders, shipments, and deliveries.
• Collaborate with Sales, Operations, Logistics, Warehousing, and Accounting for smooth order execution.
• Prepare operational reports and analyze order, inventory, and shipment data using Excel.
• Identify opportunities to improve order fulfillment processes and efficiency.
