Job summary

flyExclusive, headquartered in Raleigh, NC, is seeking an Aircraft Fuel Specialist to manage fuel invoices, payments, and related costs with accuracy and timeliness.

You will reconcile fuel purchases across stations, work with external vendors and pilots, ensure pricing accuracy per agreements, and maintain audit-ready records using Intacct, Airtable, Fuelerlinx, Coupa, Expensify, and Tableau in a fast-paced, safety-focused aviation environment.

Qualifications

• Associate's degree in Accounting, Finance, Aviation Management, or related field
• 2-4 years in accounts payable, accounting, or a related finance role
• Experience with high-volume accounts payable

Responsibilities

• Fuel accounting, reconciliation, and AP processes daily, weekly, monthly
• Reconcile fuel purchases, deliveries, and consumption across stations
• Investigate and resolve discrepancies in fuel billing
• Process and code fuel invoices including taxes and surcharges
• Review cost variances and flag discrepancies for follow-up
• Enter and reconcile Coupa transactions for approval
• Reconcile all fuel vendor credit cards and Fuel Master Card transactions in Expensify
• Serve as primary contact for external fuel vendors and pilots on fuel needs
• Ensure pricing per negotiated fuel agreements by Director of Fuel
• Maintain compliance with aviation standards and audit-ready records
• Work with fuel management systems (e.g., Airtable, Fuelerlinx, Intacct)
• Compile and reconcile fuel data for reporting and drive process automation
