Job summary

MileOne Autogroup is seeking a Warranty Administrator to manage all aspects of warranty claims from creation through submission, payment, posting and adjustments. The role requires attention to detail and prompt handling of rejected claims in a fast-paced dealership environment.

The ideal candidate will coordinate with the service and accounting teams to ensure compliance with manufacturer requirements, stay updated on recalls, and maintain accurate documentation.

Qualifications

• Process warranty paperwork with proper documentation and factory/distributor criteria.
• Handle rejected claims per dealer/manufacturer specs and follow up on outstanding claims.
• Willingness to help train dealership personnel to process claims promptly and accurately.
• Knowledge of claims statement posting and reconciling warranty receivables.

Responsibilities

• Notifies management of deviations and works with service team to ensure integrity of repair orders.
• Keep abreast of all factory recalls and announcements.
• Work with departments involved in warranty to maintain proper procedures.
• Reconcile all warranty receivables and coordinate with accounting to obtain payments.
• Resubmit all rejected claims promptly or obtain authorization to write them off.
• Follow up on payment of outstanding claims and escalate as needed.
• Maintain a professional appearance and neat work area.
• Perform other duties as assigned.

Essential Duties:

• Process all warranty paperwork to ensure proper documentation and verify criteria required by factory or distributor
• Notifies management of any deviations and corrections required, and works closely with the service team to ensure the integrity of the repair orders
• Keep abreast of all factory recalls and announcements
• Works with departments involved in warranty to maintain proper procedures
• Reconcile all warranty receivables and work with the accounting department to obtain payments
• Resubmit all rejected claims promptly or receive authorization to write them off
• Follow up on payment of outstanding claims, reporting anything that requires an escalated issue, i.e., contacting the warranty help lines, rep, etc.
• Maintain a professional appearance and a neat work area
• Perform other duties as assigned

Qualifications:

• The Warranty admin we are seeking will need to handle all aspect of claim submission with a proactive approach to follow the claim from claim creation, to submission, to payment, to posting and clearing adjustments to the schedule.
• Must be able to handle all rejected claims according to dealer/manufacturer specifications and follow up on outstanding claims.
• Willingness to help assist/train dealership personnel to accurately process claims promptly ensuring all manufacturer requirements are met.
• Knowledge of Claims statement posting
• Able to reconcile warranty receivable
• Strong attention to detail a plus
• Demonstrates a positive and professional attitude
• Knowledge of Reynolds and Reynolds computer DMS system integration – will train on DMS if individual is the right candidate
