Job Description:

The Automotive Service Department Coordinator acts as the central point of communication and organization within the service department. This individual ensures efficient scheduling, smooth workflow, exceptional customer service, and coordination between service advisors, technicians, and parts departments. This position reports to the service manager.

Key Responsibilities:
  • Coordinate daily vehicle intake and workflow between service advisors and technicians
  • Manage service schedules, appointments, and repair order tracking
  • Communicate with customers regarding service updates, delays, and follow-ups
  • Verify parts availability and assist with ordering or expediting parts as needed
  • Ensure all documentation, including RO (repair orders), warranty paperwork, and service invoices are accurate and complete
  • Handle internal communications between departments (sales, parts, warranty)
  • Support the Service Manager with reporting
  • Maintain customer satisfaction by resolving minor issues and escalating as appropriate
  • Assist with service loaner vehicles, shuttle coordination, and dealership courtesy vehicles
Skills & Qualifications:
  • Strong communication and organizational skills
  • Familiarity with DMS software (Tekion, CDK, Reynolds & Reynolds, Dealertrack, etc.)
  • Basic automotive knowledge and repair process understanding
  • Customer service background
  • Ability to multitask in a fast-paced environment
  • High school diploma or equivalent (associate degree preferred)
Additional Daily Tasks May Include:
  • Scanning and attaching documents to DMS
  • Helping with phone traffic when advisors are busy
  • Printing and placing labels/tags for service vehicles
  • Notifying service advisors when customers arrive or call
  • Helping with courtesy car wash or valet when needed
  • Check cleanliness of waiting area
  • Assist with check-ins
  • Review loaner agreement
