Job summary

Jobtailor in Cleveland, OH seeks an organized administrator to manage the Autism Scholarship Program from referral through ongoing participation. You will verify eligibility, track renewals and maintain compliant records while coordinating with families, school districts and internal teams.

The role requires strong communication, attention to detail and the ability to handle confidential information per HIPAA, FERPA, and company policies. Previous ASP experience is highly preferred.

Qualifications

  • Bachelor's degree preferred in Education, Healthcare Administration, Business Administration, Social Work or a related field.
  • Experience with the Ohio Autism Scholarship Program strongly preferred.
  • Experience with IEPs, ETRs or special education processes preferred.
  • Strong organizational and project management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities while meeting strict deadlines.
  • High attention to detail and accuracy.
  • Proficiency with Microsoft Office, Google Workspace and web-based systems.
  • Ability to handle confidential information with professionalism.

Responsibilities

  • Coordinate the Autism Scholarship Program (ASP) from referral through ongoing participation.
  • Verify student eligibility by reviewing evaluations, diagnoses, IEPs and other required documentation.
  • Monitor scholarship renewals and ensure all required documentation remains current.
  • Process new enrollments, renewals and scholarship changes through the Ohio Department of Education scholarship portal.
  • Maintain accurate scholarship records and documentation.
  • Serve as the primary point of contact for families throughout the scholarship process.
  • Educate parents on eligibility requirements, deadlines and required documentation.
  • Guide families through the application and renewal process.
  • Respond to questions regarding scholarship status and program requirements.
  • Ensure all scholarship files comply with Ohio Department of Education requirements.
  • Monitor student records for compliance with scholarship regulations.
  • Maintain confidential student records in accordance with HIPAA, FERPA and company policies.
  • Track deadlines and proactively communicate missing documentation.
  • Partner with school districts, educational agencies, providers and internal clinical teams.
  • Coordinate with BCBAs and leadership to ensure students maintain scholarship eligibility.
  • Participate in multidisciplinary meetings as needed.
  • Assist with resolving scholarship-related issues or delays.
  • Track scholarship authorizations and funding.
  • Coordinate with Finance to ensure accurate scholarship billing and payment processing.
  • Maintain reports on scholarship utilization, renewals and active participants.
  • Audit scholarship records to ensure accuracy and completeness.
  • Identify opportunities to improve workflows and documentation.
  • Develop and maintain standard operating procedures.
  • Assist with special projects related to scholarship administration and compliance.
