Job summary

Innovation Academy Charter School is seeking an Athletics Administrative Coordinator to provide administrative and operational support to the Athletics Department. Job Description

The Athletics Office Assistant provides administrative and operational support to the Athletics Department and Athletic Directors. The position combines administrative responsibilities with independent operational responsibilities related to student‑athlete eligibility, athletic events, specialized technology, department records, equipment, and communication.

This position comes with a pay rate of $18-22 per hour.

Essential Responsibilities
Student-Athlete Registration, Eligibility & Support
  • Processes online athlete registrations through systems including SportsEngine and ArbiterSports.
  • Reviews student‑athlete grades weekly to determine academic eligibility for athletic participation; this is a required, non‑deferable weekly responsibility, maintaining accurate eligibility and participation records.
  • Assists student‑athletes with athletics‑related questions and concerns within the scope of the position and refers matters requiring administrative intervention appropriately.
  • Maintains appropriate professional boundaries while providing responsive and supportive service to students, families, coaches, and staff.
Athletic Event & Site Administration
  • Serves as a site administrator/supervisor for athletic events as assigned.
  • Communicates with coaches, officials, visiting teams, volunteers, facilities personnel, and others as necessary.
  • Responds to issues that arise during athletic events, exercising sound judgment and determining when additional assistance is needed.
Athletics Technology
  • Manages and operates the Fully Automatic Timing (FAT) system for track and field meets.
  • Sets up, connects, operates, and monitors the equipment required for FAT operations, including multiple laptops, a photo‑finish camera, and a standalone network hub.
  • Troubleshoots hardware, software, connectivity, and operational problems in real time during athletic events.
  • Develops sufficient technical knowledge to operate specialized athletics systems independently.
Administrative & Department Operations
  • Prepares and types correspondence, reports, memos, and other departmental materials.
  • Maintains organized and comprehensive filing systems and departmental records.
  • Processes incoming correspondence through mail and department email.
  • Provides administrative support to the Athletic Director and Athletics Department.
  • Assists with maintaining and updating the Athletics Department website.
  • Maintains, organizes, issues, and inventories athletic uniforms and equipment.
  • Makes recommendations regarding routine equipment and gear purchases and places smaller departmental orders as needed.
Financial, Compliance & Records Support
  • Performs bookkeeping and financial recordkeeping associated with gear purchases, admissions fees, athletic fees, and other departmental transactions.
  • Identifies missing or potentially problematic documentation and brings concerns to the appropriate administrator.
Communication & Community Engagement
  • Communicates athletics‑related information to students, families, coaches, and other members of the school community.
  • Shares relevant information with the Athletic Director and contributes to discussions as appropriate within the scope of the position.
  • Manages and maintains Athletics social media accounts.
Work Schedule
  • This is a part‑time position with a minimum expected schedule of 20-25 hours per week.
  • The regular schedule will generally fall during afternoon and early evening hours, approximately 2:00–6:00/7:00 p.m., but is variable based on the athletics calendar, competitions, events, and departmental needs. The position requires flexibility to work earlier or later hours when necessary, including occasional evenings and weekends.
  • Weekend responsibilities may include track meets during the spring season and, on occasion, Saturday soccer games during the fall. Some weeks during peak times may require up to 40 hours or more, this will depend on the athletics schedule. Overtime, when applicable, must be approved in advance and will be handled in accordance with applicable policy and law.
Additional Responsibilities
  • Assists with maintaining team and individual athletic statistics as time and departmental priorities permit.
  • Performs other duties that support the effective operation of the Athletics Department and are appropriate to the scope and classification of the position.

    • Demonstrated ability to learn and troubleshoot technology.
    • Ability to meet the scheduling and physical requirements of the position, with or without reasonable accommodation.
    • Previous athletics-office experience is preferred, but not required.
  • Preferred Qualifications
    • Experience working in a school or youth-serving organization.
    • Experience working with students in grades 5–12.
    • Experience supporting extracurricular programs, athletics, or events.
    • Experience with registration, database, scheduling, or student information systems.
    • Experience with bookkeeping or financial recordkeeping.
    • Experience operating and troubleshooting technology in a live or event environment.
    • Familiarity with athletics eligibility requirements, league procedures, or state regulations.
    • Interest in or familiarity with sports and athletics.
  • Physical Requirements
    • The position is physically active and requires an approximately equal balance of sitting, standing, walking, and moving. The employee must be able to lift and carry equipment and supplies weighing up to approximately 35 pounds regularly and 50 pounds occasionally, with or without reasonable accommodation.
    • The position may require extended periods of standing and walking during athletic events and may require working outdoors and in varying weather conditions, particularly during competitions and track meets.
