Job summary

St. Gerard Education And Athletic Center is seeking an Athletic Facilities & Operations Coordinator to manage daily operations, scheduling, and upkeep of the athletic facilities.

You will coordinate rentals, ensure safety compliance, and prepare spaces for events, practices, and community programs. The role requires a flexible schedule including evenings and weekends to match athletic calendars, tournaments, and rentals.

Qualifications

• Previous experience in athletic facilities, facility management, school athletics, event operations, or a related field preferred.
• Knowledge of athletic facility operations and basic maintenance.
• Ability to safely operate basic grounds-maintenance equipment.
• Ability to perform physical tasks including lifting, moving equipment, cleaning, field preparation, and maintaining facilities.
• Strong organizational and communication skills.
• Ability to work independently and make appropriate decisions regarding routine facility operations.
• Ability to work evenings, weekends, and occasional holidays as facility schedules require.
• Ability to interact professionally with students, coaches, parents, officials, renters, and community members.
• Must be dependable, responsible, and attentive to safety and facility security.

Responsibilities

• Coordinate and maintain facility rental calendar for the athletic center, gymnasium, fields, and other spaces.
• Serve as primary contact for renters including schools, teams, leagues, and community groups.
• Communicate rental expectations, rules, schedules, access procedures, and cleanup requirements.
• Ensure all required rental documentation and certificates of insurance are completed before use.
• Verify rental payments and applicable fees.
• Coordinate facility access for evenings and weekends.
• Monitor facility use to ensure proper utilization and policy compliance.
• Maintain accurate records of rentals, contacts, documentation, and usage.
• Prepare facilities for practices, games, tournaments, and events.
• Ensure gymnasiums and outdoor facilities are clean, safe, and ready for use.
• Inspect equipment and report any damages or safety concerns.
