Job summary

COPT Defense Properties is seeking a Property Manager to oversee daily operations at National Business Park, Annapolis Junction, MD. You will ensure high-quality tenant services while keeping within the operating budget and directing a team of engineers, assistants, and vendors.

Your role includes budgeting, expense monitoring, subcontract review, and reporting, with emphasis on leadership, communication, and problem solving to maintain asset performance.

Qualifications

  • Education and certifications as listed (BOMA RPA and IREM CPM) or equivalent.
  • Five or more years of experience in related field, preferably in commercial property management.
  • Proven ability to manage budgets, respond to tenant needs, and supervise staff.

Responsibilities

  • Manage day-to-day operations of assigned portfolio, ensuring quality service and budget adherence.
  • Provide work direction to engineers, assistants, and vendors; review subcontracts and bids.
  • Monitor building expenses, prepare forecasts, and review invoices.
  • Lead tenant relations, communicate regularly with onsite contacts, and prepare budgetary recommendations.
  • Ensure on-call emergency coverage and compliance with company policies.

Description

POSITION SUMMARY:

Working closely with the Property Manager and/or Senior Property Manager, manage the day-to-day operation of assigned buildings ensuring that quality customer service is provided, and buildings operate within the constraints of the operating budget. Provide work direction to the CDP Engineers, Property Assistants and vendors/subcontractors assigned to projects. Responsible for ensuring that company physical assets are maintained in good condition.

ESSENTIAL FUNCTIONS:

  • Manage overall tenant relations, tenant satisfaction and services delivery to tenants.
  • Develop presentations for tenant council meetings.
  • Communicate with onsite tenant contacts regularly to ascertain their level of satisfaction with the building and service.
  • Answer lease and financial questions. Respond to issues and complaints. Diffuse challenging situations and maintain positive communication.
  • Coordinate and facilitate all day-to-day operations between tenants, vendors/subcontractors, CDP Engineers & Property Management in assigned properties.
  • Review and recommend subcontracts for services including but not limited to maintenance, landscaping, janitorial, etc.
  • Prepare specifications, solicit bids, analyze, and recommend approval for subcontracts.
  • Maintain current contract files as prescribed by company contract policies and procedures.
  • Monitor all building expenses and conduct site inspections to assist with financial decisions for assigned properties, including capital recommendations.
  • Review and approve invoices for services provided to assigned properties.
  • Assist and/or prepare budgets / quarterly forecasts.
  • Manage accounts receivable and PO process.
  • Operations -
    • Manage day to day operations of assigned portfolio.
    • Inspect properties on a regular basis to ensure that properties are properly maintained, and quality of service is being provided.
    • Responsible for monitoring reporting of the work order request system.
    • Provide emergency 24-hour on-call service to respond to problems as requested.
  • People Management -
    • In partnership and working closely with one up manager in collaboration of managerial responsibilities may be, responsible for staff management including recruiting/hiring, supervision, recognition, salary administration, and performance appraisals.
    • Trains staff to ensure high skill levels and technical competence.
    • Partners with Human Resources on employee development and planning initiatives.
    • Responsible for the continued awareness of the CDP core values.
  • Administrative Support -
    • Conduct vendor contract review and audit including but not limited to monitoring expirations, renewals, and accurate and thorough filing

SECONDARY RESPONSIBILITIES:

  • Assist as needed in due diligence and related requests.
  • Provide brokers access to properties when requested. Ensure properties are ready to show to prospective customers.
  • Perform all Property Coordinator and/or other job-related duties as assigned.

QUALIFICATIONS:

Education - B.O.M.A Real Property Administrator designation, I.R.E.M Certified Property Manager designation, other industry related certifications or an Associate’s Degree or equivalent two years of college experience.

Further Training - Working knowledge of operations & maintenance systems preferred.

Professional Experience -

Five or more years of experience in related field.

Commercial Property Management experience is preferred.

Computer Skills -

  • PC proficiency to include (to include but not limited to) Microsoft Office applications (Word, Excel, Outlook, etc.) and ability to learn company specific software.
  • Ability to adapt to new or changing software programs.

  • Ability to learn to prepare and monitor budgets.
  • Strong organization skills and attention to detail.
  • Demonstrated ability to provide leadership and direction to a team.
  • Demonstrated ability to prioritize and problem solve.
  • Strong verbal, written and interpersonal skills.
  • Ability to understand building operational problems / equipment and solutions preferred.
  • Knowledge of leasing and market conditions preferred.
  • Ability to be available to be on call and respond at off hours to emergency situations.
  • May be required to carry and maintain appropriate government credentials.

Pay Range: $62,500 - $150,000
