Reporting to the Senior Director of Development, the Associate of Development Operations & Donor Intelligence is a key member of CFTH's development team, responsible for transforming donor data into an actionable fundraising strategy. This role serves as the organization's expert in donor intelligence, CRM operations, reporting, and development administration, ensuring that fundraising decisions are informed by accurate data, meaningful analysis, and efficient operational processes.
Working collaboratively across Development, Finance, Communications, Programs, and Executive Leadership, this position strengthens donor engagement, supports major gift strategy, maintains operational excellence, and provides analytical insights that drive revenue growth.
Primary Responsibilities
CRM & Development Operation

- Serve as the organization's power user for DonorPerfect, managing CRM administration, reporting, automation, workflows, segmentation, templates, dashboards, and data integrity.
- Ensure donor records remain accurate, complete, consistent, and free of duplicate records.
- Develop and produce targeted mailing lists, email audiences, solicitation segments, and campaign reports that support annual giving, major gifts, stewardship, events, and other fundraising initiatives.
- Partner with Development and Marketing to ensure donor segmentation, mailing lists, and solicitation strategies align with campaign objectives, communication plans, and fundraising priorities.
- Maintain fundraiser portfolios, proposal tracking, and reporting to support effective moves management.
- Develop and maintain online donation forms and monitor all giving platforms to ensure a seamless and accurate donor experience.
Donor Stewardship & Communications
- Lead operational donor stewardship processes, including acknowledgements, pledge reminders, recurring gift communications, tribute notifications, tax receipts, and other donor correspondence.
- Maintain communication workflows, templates, quality standards, and personalization practices.
- Respond promptly and professionally to donor inquiries regarding gifts, pledges, documentation, and tax substantiation.
- Process gifts accurately and confidentially while maintaining the highest standards of financial integrity.
- Reconcile contributed revenue with Finance on a monthly basis and assist with annual audit documentation.
- Manage gift agreements, restricted gifts, designated funds, and proposal tracking systems.
- Coordinate reporting requirements with Development and Finance teams to ensure timely fulfillment of donors and grant obligations.
- Analyze donors giving history, engagement, wealth indicators, philanthropic interests, and other available data to identify, qualify, and prioritize prospective donors.
- Translate donor intelligence into actionable recommendations that strengthen portfolios, move management, cultivation strategies, and fundraising outcomes.
- Facilitate regular portfolio and pipeline reviews with development staff.
- Create reports and dashboards that measure donor retention, campaign performance, stewardship outcomes, fundraising productivity, solicitation results, and pipeline health.
- Leverage predictive analytics, AI-enabled tools, and emerging technologies to improve donor segmentation, solicitation strategies, prospect prioritization, fundraising forecasting, and operational efficiency. Candidates should demonstrate experience using—or a willingness to learn and adopt—AI tools that enhance fundraising strategy and development operations.
Board & Organizational Support
- Serve as the primary administrative liaison for the Board of Directors, coordinating quarterly meetings, committee meetings, agendas, minutes, and communications.
- Maintain the Govenda portal to ensure timely distribution of meeting materials.
- Prepare reports and presentation materials for Executive Leadership Committee meetings, maintaining the Govenda
- Produce recurring fundraising reports for organizational leadership and other internal stakeholders.
- Identify opportunities to improve systems, workflows, reporting, and operational efficiency across the Development department.
- Collaborate across departments to strengthen fundraising operations and support organizational goals.
- Perform other duties as assigned.
Qualifications
Required
- Five or more years of experience in development operations, advancement services, fundraising operations, donor services, prospect research, or a related nonprofit field.
- Advanced experience working with donor CRMs, preferably DonorPerfect, including reporting, automation, segmentation, and data management.
- Demonstrated experience analyzing donor data and translating complex information into actionable fundraising strategies.
- Experience managing gift processing, donor stewardship operations, restricted gifts, pledges, and financial reconciliation.
- Strong analytical, organizational, and project management skills with exceptional attention to detail.
- Excellent written and verbal communication skills, including donor-facing correspondence and report preparation.
- Advanced proficiency in Microsoft Office, particularly Excel.
Preferred
- Experience using AI-powered analytics, predictive modeling, or emerging artificial intelligence tools to improve fundraising strategy, donor segmentation, reporting, operational efficiency, or prospect identification—or a demonstrated curiosity and willingness to learn and adopt these technologies.
- Experience with wealth screening, prospect research platforms, and fundraising performance metrics.
- Experience supporting nonprofit boards and governance platforms such as Govenda.
