Job summary

Stony Brook University’s School of Marine and Atmospheric Sciences seeks an Associate Facilities Manager to oversee South Campus facilities, ensure safety and reliability, and coordinate with Environmental Health & Safety, Parking & Transportation, and campus operations. Responsibilities

  • Direct the maintenance, repair, and upkeep of SoMAS facilities on South Campus.
  • Serve as primary liaison between SoMAS and EH&S, Parking & Transportation, Campus Operations & Maintenance, and other units.
  • Diagnose plumbing, electrical, and HVAC issues and coordinate repairs with appropriate departments.
  • Plan, submit paperwork for facility rehabs and lab outfitting; assist with minor construction work.
  • Space planning to allocate labs and offices efficiently; support long-term campus master planning.
  • Oversee equipment purchasing, delivery, and setup of furnishings/equipment.
  • Supervise shared equipment maintenance and ensure staff training and safety compliance.
  • Prepare annual equipment inventory reconciliations and facility reporting.

  • Experience managing and diagnosing issues with HVAC, plumbing, and electrical equipment functions.
  • Experience conducting equipment, space and safety inspections.
  • Supervisory experience.

Brief Description of Duties

The Associate Facilities Manager reports directly to the Associate Dean for Facilities in the School of Marine and Atmospheric Sciences (SoMAS) and will work to ensure that all SoMAS facilities are safe, functional, accessible, and well‑maintained and that activities and procedures related to building safety, routine operations, relocations, repairs and construction are managed effectively and efficiently. The incumbent will serve as the primary liaison between SoMAS and key Stony Brook University administrative units (Environmental Health & Safety, Parking & Transportation, Campus Operations & Maintenance, Campus Planning, Design & Construction, University Police Department, and others). The Associate Facilities Manager must be able to diagnose plumbing, electrical, and HVAC issues, and source repair/renovation requests to the proper department, but also be able to provide hands‑on physical assistance with event support, space management, and routine repairs (e.g. by moving furniture and other tasks as needed). SoMAS is a dynamic unit with facilities primarily on the South Campus of Stony Brook University, a fleet of vehicles and vessels, and over 200 faculty and staff. The successful incumbent will understand how to navigate the complexities of working for a large research institution, all while representing SoMAS well, communicating effectively with a diverse community of administrators, faculty, staff, and students in a professional and collegial manner. The incumbent will work in an autonomous environment and is expected to be self‑directed, innovative, and resourceful.

Key responsibilities will include
  • Facilities Operations & Safety Daily Maintenance: Direct the maintenance, repair, and upkeep of South Campus buildings (Challenger, Dana, Discovery, and Endeavour Halls, plus the Boathouse).
  • First Responder: Serve as the primary point of contact for building issues (HVAC, lighting, noise/odor complaints) and off‑hour facility emergencies.
  • Safety & Compliance: Oversee safety standards, schedule fire drills, coordinate regulatory inspections, and notify occupants of service interruptions. Serve as a key member of the SoMAS Safety Committee.
  • Lab Decommissioning: Coordinate lab take‑downs for retiring or departing faculty, ensuring the coordination of the safe disposal of hazardous and radioactive waste.
  • Satellite Locations: Periodically inspect and coordinate utility/maintenance support for satellite properties (e.g., Flax Pond Marine Lab, Southampton facilities, donated properties).
  • Renovations & Space Management Project Management: Collaborate with the Associate Dean to plan, submit paperwork for, and monitor facility rehabs and lab outfitters. Assist directly with minor deconstruction, construction, or installation when required.
  • Space Planning: Work with senior leadership to allocate labs, offices, and shared spaces efficiently, while contributing to long‑term campus master planning.
  • Equipment Managing & Reporting: Advise leadership on major equipment needs. Oversee the purchasing, delivery, and setup of office, instructional, and lab furnishings/equipment.
  • Shared Equipment Support: Assist staff with the maintenance and repair of shared instrumentation (autoclaves, cold rooms, ice machines, machine and wood shops). Ensure shop users are properly trained and supervised.
  • Reporting & Audits: Prepare annual equipment inventory reconciliations, space audits, and facility reporting for SoMAS, SBU, and SUNY administration.
  • Fleet Management Fleet Operations: Oversee the scheduling, maintenance, fueling, and repair of SoMAS vehicles (trucks, SUVs, vans) in coordination with SBU Automotive Repair.
  • Financial Oversight: Manage the vehicle service center billing, accurately log mileage, resolve scheduling conflicts, and maintain a break‑even budget.
  • Event & Logistics Coordination: Event Support: Assist with the planning, setup (seating, signage, room prep), and execution of SoMAS events (e.g., Recruitment Weekend, Convocation, annual BBQ). Secure necessary food and alcohol permits.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes: This is a full‑time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.

In addition to the employee's base salary, this position is eligible for $4,000 UUP annual location pay, paid biweekly.
