Conditions. Workplace Diversity, LLC. is looking for a Facilities Operations Manager to oversee operational demands in the Longwood Medical Area. The ideal candidate will have at least eight years of facilities management experience and a Bachelor's degree.

The Facilities Operations Manager (FOM) is responsible for safely managing the operational demands of the assigned facilities or properties in the Longwood Medical Area. The FOM must organize and prioritize multiple competing tasks and projects with limited resources, effectively manage stressful situations, and consistently make high‑quality decisions. They must also develop open, proactive, effective, and consistent communication with occupants and department coordinators. The FOM has overall responsibility and oversight of maintenance, operations, and contract management services for the areas of responsibility.
The FOM must actively monitor building system performance, energy usage, appearance, and aesthetics, which requires substantial walking and climbing. Knowledge of HVAC, electrical, mechanical, and service systems is necessary to perform root‑cause analysis and implement corrective actions. Audits of maintenance tasks for workmanship and completeness are required to identify systems or components that need repair or replacement. The FOM must also actively monitor operational services within their facilities, reinforcing facility standards for all service personnel.
Frequently, the FOM communicates with occupants and department coordinators to manage repairs, replacements, renovations, and planned or unplanned system shutdowns. The FOM ensures the coordination and completeness of renovations by the Planning, Design, and Construction group.
The FOM participates in the Facilities Group’s long‑range and strategic planning and assists in developing and tracking the detailed zero‑based annual operating budget. They develop and implement innovative processes and programs that reduce operating costs, improve efficiencies, and increase productivity. The FOM monitors and manages contracted services, including initiating purchase orders for goods and services, monitoring performance criteria per scope of work, performing periodic bidding, and creating change orders. They may also assist with implementing and managing building‑maintenance service contracts such as elevators, sterilization, pest management, and wastewater management.
The FOM must pay careful attention to detail when reviewing bids and invoices and actively monitor trend data and contractor performance indicators while proactively overseeing all building infrastructure services in accordance with HMS standard processes, procedures, goals, and values. Continuous learning through benchmarking, industry seminars, conferences, and occasional travel is essential.
As an Emergency Response Organization (ERO) member, the FOM is expected to be reachable 24 hours, 7 days per week to lead or direct campus and facilities‑related emergency activities. This position is part of a rotating on‑call schedule; the FOM will be on call for twenty‑four hours a day and seven days on assigned weeks each year.
The position may be performed at a location outside the University campus. The work schedule and location are determined by departmental needs. Employees may work in a Harvard‑registered state and must comply with the University’s policy on employment outside Massachusetts. Specific visa types or funding sources may limit work location. Employees must meet work‑location sponsorship requirements prior to employment.
