Job summary

Playlist is seeking an Associate Project Manager for a 12-month maternity leave cover, focusing on day-to-day resourcing and traffic flow for our creative team.

This role links incoming creative requests with copywriters, designers, and content specialists, ensuring the right people work on the right tasks at the right times.

You will communicate clearly with stakeholders, manage timelines in Asana, surface trade-offs early, and help build a scalable, efficient creative operations process.

Qualifications

  • 1–3 years of experience in project management, production, traffic, or operations — creative/marketing environment preferred
  • Strong organizational skills and comfort managing many moving pieces at once without losing track of details
  • Clear, proactive communication style; comfortable following up with stakeholders and creative team members alike
  • Familiarity with project management tools (Asana, Notion, Monday, or similar)
  • A calm, solutions-oriented approach when priorities shift or deadlines get tight
  • Ability to distinguish between decisions you can make independently and ones that need to go to your manager
  • A continual learner who proactively picks up new tools, systems, and processes
  • Interest in automating or improving workflows is a plus

Responsibilities

  • Own daily triage of incoming creative requests, ensuring each one has the information needed to move forward (asset type, due date, brief details, priority)
  • Monitor team capacity and bandwidth across copywriters, designers, and content team members; flag overallocation or gaps before they become bottlenecks
  • Assign and re-assigned work based on specialty, availability, and deadlines, escalating conflicts or trade-offs to your manager when priorities compete
  • Build out subtask/production plans for approved requests (rounds of review, stakeholder feedback loops, localization, legal review, etc.) and back-calculate due dates
  • Chase down overdue tasks and stalled approvals, keeping requests moving without letting things fall through the cracks
  • Groom the backlog on a regular cadence — surfacing stale, duplicate, or on-hold requests for your manager's review
  • Maintain clean, current records in the team's project management tool (e.g., Asana) so status is always visible at a glance
  • Onboard and train new hires and stakeholders on Asana workflows and the creative intake process, ensuring people can request work and track status independently
  • Flag process breakdowns or recurring issues to leadership and help refine intake/triage workflows over time

About the Role

We're looking for an Associate Project Manager to join us on a 12-month, fixed-term contract covering a maternity leave, with a focus on day-to-day resourcing and traffic flow for our creative team. This person will be the connective tissue between incoming creative requests and the copywriters, designers, and content specialists who fulfill them, making sure the right people are working on the right things at the right time, and that everyone involved always knows where things stand. Success in this role hinges as much on clear, proactive communication as it does on logistics: you'll manage expectations with stakeholders across the business, from the requesters submitting briefs to the creatives executing them to the leadership tracking output, and surface trade-offs early so nothing catches anyone off guard. This is a hands-on, detail-oriented role well-suited to someone early in their PM career who wants to build a strong foundation in creative operations.
