Position Summary

The Assistant to the Chair is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and agency/institution policy.

Job Duties and Responsibilities

The Assistant to the Chair is responsible for fulfilling overall clerical duties related to the Department of Communication Sciences and Disorders. This involves managing academic coordination, facilities, budgets, and personnel operations. Core responsibilities include managing course scheduling, enrollment, and reporting within Banner and Argos; overseeing full-lifecycle hiring, personnel records, and Work-Study budgets via PeopleAdmin; and directing day-to-day facilities, key access, inventory, and equipment calibration. Financial duties encompass tracking departmental and Foundation budgets, processing procurement, preparing financial reports, reconciling end-of-year accounts, and handling faculty and student travel logistics in compliance with university policy. Additionally, this position assists in planning departmental events, maintains the digital and web presence, supports clinic workflows, ensures compliance with CAPCSD accreditation standards, and collaborates on college-wide staff engagement initiatives and other duties as assigned.

Good oral and written communication skills are essential. Ability to operate standard office equipment; liaise with faculty, healthcare professionals, students and the public; oversee purchasing, maintenance, and repair of clinic equipment; hire and manage student workers. Ability to develop, recommend, interpret, and apply policies and procedures. Ability to analyze financial records and prepare reports. Ability to plan, organize, and direct the work of others. Knowledge of computers and software applications.

Required Education and/or Experience

The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus three years of experience in specialized or a related field applicable to work performed. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management.
