Job description

Plant People was born when two friends chose the healing potential of functional mushrooms, adaptogens, and herbs over pharmaceuticals on their recoveries back to health after experiencing traumatic spinal surgeries and learning how to walk again. What started as a personal path to recovery became a mission to restore nature’s nurture.

We make doctor-formulated, non-GMO plant and mushroom supplements designed to help people sleep deeper, focus better, feel calmer, and live well. We’re B Corp and Climate Neutral certified, and you can find us in Whole Foods, Erewhon, REI, JetBlue, Sprouts, and other forward-thinking partners across the country. We are one of the fastest growing supplement brands on the market and we’re looking for teammates to join us on this adventure.

Who We Are
  • We’re hands-on and all-in - Everyone here builds. We take ownership, move fast, and stay scrappy. Whether it’s launching a new SKU or jumping in on a last-minute shoot, we show up ready to solve, not sit back.
  • We lead with story, backed by data - We’re obsessed with how things look, feel, and resonate—and we also love performance metrics, A/B tests, and sharp pivots. Creative and analytical thinking live side by side here.
  • We care deeply - About wellness. About the planet. About our customers. We’re here because we believe there’s a better way to help people feel good, and we want to build it together.
  • We give a damn - About the details, the deadlines, the tone of a subject line, the flavor of a gummy. We sweat the small stuff because that’s what earns trust and builds brand love.
  • We communicate clearly - We believe feedback is fuel. We speak with intention, listen with curiosity, and work collaboratively—even when we disagree.
  • We stay curious - We pay attention to what’s happening in culture, in science, in our community. We’re always learning—and never afraid to change our minds.
About the Role

We're looking for an exceptionally organized, proactive and resourceful Executive Assistant to support the CEO and Co-Founder of Plant People, a fast-growing wellness brand.

This role is ideal for someone who genuinely loves being an assistant, thrives on organization and takes pride in making things run smoothly. You'll help manage day-to-day priorities, coordinate schedules, streamline workflows and ensure nothing falls through the cracks.

We're looking for someone who thinks several steps ahead, anticipates needs before being asked and brings a solutions-first mindset to everything they do. You'll be comfortable juggling multiple priorities, communicating with a wide range of people and using technology and AI to work smarter.

This role is primarily focused on business support with occasional personal assistance. The ideal candidate is Austin-based, comfortable with a hybrid work arrangement and available for in-person needs as they arise.

Core Responsibilities
Executive & Administrative Support
  • Calendar & Scheduling: Proactively manage the CEO's calendar, meetings, appointments and scheduling, ensuring time is thoughtfully prioritized and optimized.
  • Email & Communications: Organize and triage emails, draft responses, manage correspondence and flag important communications.
  • Travel Management: Own end-to-end domestic and international travel planning for the CEO, including flights, accommodations, transportation, itineraries and reservations.
  • Team & Board Logistics: Coordinate travel and logistics for team off-sites, board meetings, leadership gatherings and company events, ensuring seamless planning and execution.
  • Professional & Personal Errands: Proactively manage and execute professional and personal/family errands, appointments, reservations, gifting and day-to-day logistics to help the CEO stay focused on their highest-priority work.
  • Daily Prioritization: Help the CEO maximize productivity by organizing daily priorities, anticipating upcoming needs and proactively taking administrative and logistical responsibilities off their plate.
  • Recruiting & HR Support: Assist with recruiting coordination, interview scheduling, onboarding and HR administrative tasks.
  • Internal & External Communication: Coordinate outreach and communication with business contacts, partners, vendors and internal team members.
Operational & Organizational Excellence
  • Task & Project Management: Maintain an organized system for tracking tasks, commitments, deadlines and outstanding follow-ups. Keep workflows organized, monitor progress and ensure accountability.
  • Office Operations & Facilities Management: Oversee day-to-day operations for temporary or permanent office spaces, including coordinating cleaners, handymen, maintenance providers, office supplies, repairs and other vendors to ensure a clean, organized and fully functional work environment.
  • Document Review: Review, edit and proofread documents, presentations and communications for accuracy, clarity and professionalism.
  • Social Media Support: Assist with social media workflows, including scheduling and posting content on the CEO's behalf.
  • Retail Support: Be available for occasional in-person errands, including visiting retail stores to check on product displays, merchandising and inventory.
  • Think several steps ahead, anticipating the CEO's needs and preparing resources before being asked.
  • Proactively schedule meetings, make reservations, place holds and coordinate logistics when appropriate.
  • Monitor upcoming commitments, deadlines, travel and events to prevent last-minute issues.
  • Independently research options and present thoughtful, actionable recommendations.
  • Demonstrate sound judgment about what requires the CEO's attention versus what can be handled independently.
  • Take ownership of tasks from start to finish, following through without constant reminders.
  • Maintain an organized, prioritized system for daily, weekly and recurring responsibilities.
  • Recognize opportunities to proactively handle professional or personal logistics that free up the CEO's time and mental bandwidth.
Technology, AI & Productivity
  • Comfortably use Slack, Gmail, Google Calendar, Google Docs, ChatGPT and other productivity tools.
  • Actively leverage and be OBSESSED with AI tools to support research, drafting, scheduling, organization and administrative workflows.
