Job description

ASSISTANT PROPERTY MANAGER - Commercial Real Estate

Under the guidance of the Property Manager, assist in the daily operations of commercial office space, including tenant relations, property maintenance, financial reporting, coordination of building staff, and day-to-day administrative functions of the Property Management Department. This individual should have excellent time-management skills, pride themselves on efficiency, and maintain a customer-service-oriented approach when dealing with tenant issues.

Job Responsibilities include, but are not limited to:

  • Serve as the central hub for tenant maintenance and property management issues, ensuring timely responses and proper tracking in accordance with company standards.
  • Collaborate with maintenance staff, vendors, and contractors to resolve tenant issues and follow up on projects.
  • Answer calls, compile correspondence, and draft notices related to holidays, construction, repairs, and rules updates.
  • Organize digital files and documents consistently.
  • Manage invoices, follow up on past due and missing payments, resolve discrepancies, and coordinate utility services.
  • Review tenant lease documents for relevant details.
  • Maintain contact workbooks for tenants and vendors.
  • Use Yardi software to generate financial reports like rent roll, budgets, and aged delinquency.
  • Prepare and send rent delinquency and late fee notices.
  • Compile tenant billable charges and support monthly variance reports.
  • Assist with budget research, bids, and CAM reconciliation letters.
  • Manage rent increase notices and track insurance certificates for compliance.
  • Oversee parking enforcement, violations, and towing requests.
  • Coordinate tenant move-in and move-out processes.
  • Solicit vendor proposals, prepare purchase orders, and support administrative functions.
  • Assist with special projects as needed.

Qualifications:

  • Experience in commercial property management.
  • Proficiency in Excel, Word, Outlook, and internet skills.
  • Ability to learn real estate software applications quickly.
  • Strong multitasking, prioritization, and administrative skills.
  • Excellent communication, teamwork, and customer service skills.
  • Attention to detail and the ability to learn new procedures swiftly.
  • Experience in customer service, coordination, and scheduling.
