Scope & Purpose
Under the daily direction of the Property Manager, the Assistant Property Manager is responsible for the overall aspects of community operations. They may be asked to perform other duties as assigned by their Manager and/or Regional Director.

Duties & Responsibilities
- Assist in training property staff.
- Create a positive environment for residents, visitors, and staff.
- Maintain office cleanliness.
- Evaluate staff performance and conduct reviews.
- Counsel underperforming staff and provide feedback.
- Handle timesheets and payroll adjustments.
- Assist in staff selection and interviews.
- Understand all affordable regulatory forms and documents.
- Submit reports as per Residential One’s timetable.
- Maintain building security and incident documentation.
- Conduct semi-annual file audits.
- Maintain property filing systems.
- Ensure staff attend mandatory trainings.
- Understand Boston Post software and paperless workflows.
- Prepare Reserve Funds Replacements (RFR).
- Perform other duties as assigned.
Occupancy
- Supervise leasing activities.
- Set goals to maintain 100% occupancy.
- Implement marketing and advertising campaigns.
- Notify residents of tenancy issues.
- Maintain vacancy data.
- Complete move-in certifications and re-certifications timely.
- Supervise waitlist management.
- Review applications and calculate income/assets.
- Oversee lease orientations and submissions.
- Stay updated on affordable housing rules.
- Oversee property tours and marketing.
- Conduct move-in/move-out inspections.
- Ensure correct set-asides, rent, and income limits.
- Oversee certification processes and inspections.
- Ensure compliance with policies and laws.
- Handle eviction court documents and hearings.
- Prepare accurate reports.
- Manage file purging annually if applicable.
Finances
- Achieve financial stability, reduce costs, and maintain 0% delinquency.
- File delinquent rent and follow up.
- Administer security deposits and refunds.
- Make daily rent deposits and maintain documentation.
- Ensure batch and bank deposit matching.
- Follow rent collection policies and follow up on delinquent accounts.
- Prepare annual operating budgets and explain variances.
- Understand AP and AR procedures.
Maintenance
- Manage maintenance operations and purchases.
- Review bids and approve contracts.
- Oversee contract work and budget use.
- Maintain inventory control.
- Ensure preventive maintenance schedules are followed.
- Oversee property inspections and work order completion.
- Perform other duties as assigned.
Qualifications
- High school diploma/GED.
- 2+ years in residential leasing or property management.
- 1+ years working with LIHTC/Section 8.
- Excellent communication and time management skills.
- Strong customer service and sales skills.
Physical Requirements

- Mobility between departments and properties.
- Conducting tours and climbing stairs.
- Talking, hearing, and manual tasks.
- Reading and understanding information.
- Visual inspection of properties and documents.
