POAH Communities is seeking an Assistant Property Manager to support the Property Manager at Bay Meadow Apartments in Springfield, MA. The role involves coordinating day-to-day operations, maintaining tenant files, and ensuring compliance with HUD and state programs.

You will work with a team to manage leasing, certifications, and resident services, while leveraging Yardi and MS Office tools to support efficient property operations. A strong customer-service approach is essential.

Qualifications

• Experience with government-assisted and subsidized housing programs is required.
• Certified Tax Credit Specialist and/or Certified Occupancy Specialist.
• Hands-on experience in day-to-day operations, maintenance programs, marketing and leasing, and tenant certifications.
• Proficiency in MS Word, Excel and Outlook; familiarity with Yardi software.

Responsabilités

• Assist in collecting rents and processing move-ins/move-outs in the Yardi system.
• Complete annual and interim certifications of households.
• Coordinate with Property Manager and staff across office and maintenance teams.
• Ensure compliance with HUD/state housing regulations and safety standards.
• Prepare contracts and ensure proper engineering specifications for major repairs.

ABOUT THE ROLE

POAH Communities is seeking a qualified individual to serve as Assistant Property Manager. Springfield is the largest city in western Massachusetts and more than half of its residents experience a high housing cost burden, meaning they must devote more than 30% of their household resources to housing costs. Solidly built in 1943 as military housing, Bay Meadow was converted to affordable housing in the 1980s. With its 100% project-based rental assistance through the Section 8 program, the property represented an irreplaceable affordable housing asset. Sited on twelve acres quite near Interstate 291, Bay Meadow’s condition belies its age; it has been carefully maintained as an attractive campus with appealing landscaping, sizable children's play areas, a community center and an outdoor swimming pool.

ABOUT YOUR IMPACT

Reporting to a Property Manager, the successful candidate will thrive in a team oriented environment and should possess the following:

• Previous experience with government-assisted and subsidized housing programs is required.
• Certified as a Tax Credit Specialist and/or Certified Occupancy Specialist.
• Hands‑on experience and demonstrated ability to successfully assist in day‑to‑day operations, maintenance programs, marketing and leasing activities, occupancy and annual tenant certifications.
• Strong verbal, written and customer service communication skills are essential; computer proficiency (specifically in MS-Word, Excel, and Outlook) is a plus, as is familiarity with Yardi software.
• Ability to envision and create, in concert with manager, residents and staff, a harmonious, cohesive atmosphere.
• Flexibility, positive attitude, team orientation and willingness to learn are a must!

ABOUT YOU

The Assistant Property Manager position will provide support to the Property Manager by managing various assigned tasks.

• Ensure that systems are aligned within the parameters of HUD and state housing agency.
• Guarantee all applicable regulations are in place or created to maximize resident and employee safety and health.
• Make certain that all contracts are professionally prepared and that adequate engineering specifications are contractually incorporated for all major repair work.
• Ensure that compliance with all Federal, State and Local laws are maintained.
• Assist in collecting rents, processing move‑ins / move‑outs in the Yardi system, completing annual and interim certifications of households.
• Work closely with other staff members who work in the property’s office or who may also work in the maintenance area.
