Salary Range (Hourly if Non-Exempt, Annual if Exempt):

$31.50 per hour

Summary (of position):

The Assistant Manager supports the Property Manager with daily building operations, including maintaining the safety and security of the building for the residents. This position requires working on-site and involves extensive interaction with both on-site staff and tenants.

Responsibilities:

  • Update the visitor/guest log, wellness check log, and package log, along with all other front desk forms and Fire Control Center (FCC) Room forms
  • Create and maintain tenant files and records, including the administration of housing applications, waiting list, and transfer list, both in physical form and across multiple software platforms and digital systems
  • Assist with managing the rent collection process, including bank deposits (check, money order, or card payments), rent records, financial updates, and rent receipts
  • Assist with all tenant certification/re-certification processes, ensuring compliance with all applicable regulatory agencies for each tenant's specific requirements
  • If not Tax-Credit certified through a Swords to Plowshares-approved training curriculum, enroll in, complete the training/coursework, and pass the exam for the required training course within 6 months of filling the position
  • Complete maintenance work orders, both physically and digitally, and maintain the digital maintenance work order log
  • Create and distribute letters, memos, and notices to residents and staff as necessary
  • Assist the Property Manager in compiling and completing tenant information for monthly and annual summary reports
  • Maintain the orderliness of the front entrance, lobby, and adjoining rooms/areas
  • Address tenant requests and respond to building emergencies as instructed
  • Support the Property Manager as requested
  • Host community meetings, coordination meetings, and team huddles as needed
  • Conduct unit inspections (annual, unofficial, move-in, move-out, and others)
  • Host and escort vendors, upper management, inspectors, regulatory agencies, potential investors, move-in prospects, etc., in and around the property, as well as designated units for inspections, tours, work, or other official business
  • Light maintenance work, including resetting circuit breakers, changing out light bulbs, sweeping, mopping, and other manual tasks as needed
  • Assist tenants with physical disabilities as needed and respond to any reasonable modification requests in a timely manner
  • Respond to reasonable accommodation requests in a timely manner and in compliance with fair housing laws
  • Respond to tenant grievances in a timely manner and in compliance with fair housing laws
  • Attend and complete mandatory training or other required activities, as needed, in a timely manner and on short notice
  • The employee must be able to perform all duties within what would be considered reasonable accommodations

Supervisory Responsibilities (If Applicable)

  • Perform mandatory weekly supervision of Program Monitors and any other staff members under property management supervision
  • Respond to calls from staff members, including emergencies, front desk staff not showing up for work, or any other urgent matter
  • Call and coordinate with the Program Manager for On-Call Staffing to ensure the front desk is staffed at all times, occasionally contacting on-call staff or staffing agencies personally
  • Occasionally fill in at the front desk and perform the duties of Program Monitors/front desk staff as needed
  • Personally train or schedule job training for new permanent or on-call employees
  • Train staff members and update them on new policies and procedures, as well as any new developments that will affect their day-to-day work
  • Coordinate with the Property Manager and/or Director of Facilities to manage or supervise the Maintenance Engineer, the Custodian, or any other employee or temporary employee working under the umbrella of Property Management
  • Update or create standard operating procedures or guides for front desk staff as needed

Desired Qualifications:

Experience:

  • Prior experience with public-supported residential property management
  • Prior experience with security and/or reception work
  • Working knowledge of Microsoft Windows, Word, Excel, Outlook, and Teams as well as Adobe Portable Document Format (PDF)
  • Working knowledge or ability to quickly learn Property Management software such as RealPage, and Onesite, as well as other software
  • Ability to work independently and exercise judgment in problem-solving
  • Ability to function under stressful circumstances
  • Excellent interpersonal and organizational skills
  • Ability to work with people of diverse social, economic, and ethnic backgrounds
  • Sensitivity to issues facing homeless, disabled, and elderly populations

Education:

  • High School Diploma or GED Equivalent
  • California Certified Residential Manager (CCRM) or other equivalent designations
  • Tax Credit Specialist (TCS) or other equivalent designations.
  • Translatable military experience and skills may be alternatively substituted

Additional Qualifications:

  • Pleasant and professional manner with a calm disposition
  • Ability to communicate clearly, both verbally and in writing
  • Good written and verbal communication skills
  • Commitment to a safe and pleasant work environment
  • Must posses a valid state driver’s license and have a clean driving record

Employees who are regularly scheduled to work 20 hours or more per week are eligible for all benefits.
