We are seeking detail-oriented individuals committed to excellence to support our Property Manager, ensuring the ongoing success of our multifamily properties.

Key Responsibilities
  1. Act as a liaison between ownership and residents, ensuring smooth communication by drafting and circulating resident communications.
  2. Cultivate a welcoming atmosphere by fostering strong relationships among residents, management, and building staff.
  3. Manage lease administration, including data entry into property management software, managing calendars, and processing codes for accounts payable and receivable.
  4. Keep office files organized, manage inventory, and ensure compliance with storage, bicycle, and fitness agreements.
  5. Prepare comprehensive monthly reports, maintaining delinquency below 0.5% of GPR.
  6. Coordinate Move In/Move Out procedures, handle insurance certificates, oversee Move Out Reports and security deposit refunds.
  7. Assist the Resident Manager with post-move out walk-throughs, coordinate vendors, and review contracts.
  8. Support the Property Manager in budget forecasting, organizing building-related events, and managing emergencies.
  9. Provide after-hours on-call support when necessary, promptly communicating any issues to the Property Manager.
  10. Analyze income and expense trends, contribute to budget forecasting, and assist with code processing and filing.
  11. Collaborate closely with property management on renovations, vendor coordination, and lease enforcement.
  12. Stay informed about the competitive marketplace, oversee resident retention initiatives, and be prepared to handle emergencies.
  13. Ensure compliance with all relevant housing agencies (e.g., NYCHPD, NYCHDC, NYSHCR/HFA, HUD).
  14. Manage the annual certification/recertification process, ensuring on-time collection and completion of documents.
  15. Prepare and review Section 8 packages.
  16. Maintain a physical presence on-site, ensuring effective communication with tenants, staff, vendors, and visitors.
  17. Navigate stairs and adapt to environmental conditions as needed.
  18. Perform additional duties outside of regular responsibilities as required.
Qualifications
  1. Bachelor’s degree in business, marketing, real estate, or finance preferred.
  2. Minimum of 3 years of multifamily or assistant property management experience, including experience with Affordable Housing programs (e.g., Section 8, CityFHEPS, Low Income Housing Tax Credit).
  3. Proficiency in property management software, including Microsoft Office, On-Site, and Yardi.
  4. HUD & LIHTC experience, COS and/or TCS certification required.
  5. Technical knowledge of building operations and maintenance.
  6. Understanding of marketing trends, budgeting, and reporting.
  7. Experience with affordable housing subsidy programs.
  8. Tax credit certification is required; experience with HDC is a plus.
  9. Valid NYS real estate license or ability to obtain within 120 days; active license holders must register with Rose Associates.
  10. Work authorization required.
  11. Availability to work weekends (Saturdays and Sundays).
