Position Summary
The Assistant Property Manager supports the day-to-day management of a commercial office portfolio, partnering closely with the Property Manager to ensure operational excellence, tenant satisfaction, financial performance, and property value enhancement. This role serves as a key liaison between tenants, vendors, ownership, and building operations teams while assisting with budgeting, lease administration, project coordination, and property maintenance.
Key Responsibilities
- Support daily operations of assigned commercial properties, ensuring exceptional tenant service and efficient building performance.
- Build and maintain positive relationships with tenants, vendors, ownership, and building staff.
- Conduct property inspections and assist with risk management, life safety compliance, and building emergency procedures.
- Coordinate tenant move-ins, move-outs, parking assignments, building signage, and special events.
- Manage vendor relationships, service contracts, bid processes, certificates of insurance, and property permits.
- Assist with oversight of property services including janitorial, landscaping, parking, waste removal, pest control, elevator operations, window cleaning, and other building maintenance functions.
- Respond promptly to tenant requests and maintain ongoing tenant relations to ensure high levels of satisfaction and retention.
- Support lease administration, maintain property and lease files, and assist with management reporting and business plan initiatives.
- Assist with budgeting, financial reporting, invoice coding, expense tracking, A/P and A/R review, collections, and annual budget preparation.
- Prepare tenant communications, presentations, and other administrative materials while supporting office and team initiatives.
Qualifications
- Associate's or Bachelor's degree preferred; equivalent experience considered.
- 2-3 years of commercial real estate or commercial property management experience.
- Basic understanding of accounting and financial reporting principles.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Experience with Yardi, MRI, AMSI, or similar property management/accounting software is a plus.
- Strong communication, organizational, customer service, and problem-solving skills.
