Responsibilities
The Assistant Project Manager Music is an entry level project management role designed for individuals who want to build a career managing Music live events and entertainment productions. This is a hands‑on position where you will work alongside experienced Project Managers and Account Executives, learning every aspect of project execution from planning through completion.
You will actively participate in the day-to-day management of projects while developing the knowledge and skills needed to independently manage projects in the future. As your experience grows, you will take on increasing responsibility while receiving coaching and mentoring from senior team members.
Essential Functions:
- Work alongside Project Managers to assist with planning, coordinating, and executing live event projects.
- Participate in project meetings to understand client requirements, timelines, budgets, and project goals.
- Help translate project plans into organized tasks and ensure assigned work stays on schedule.
- Learn PRG's project management processes, systems, and best practices through hands‑on involvement.
- Assist with client communications, including providing project updates and responding to routine requests.
- Participate in internal planning meetings with sales, operations, technical teams, and project stakeholders.
- Build strong working relationships with internal departments to ensure successful project execution.
- Learn how project scopes and change requests are communicated.
- Work with Project Coordinators to assist in preparing and maintaining project schedules, documentation, and timelines.
- Help coordinate equipment, logistics, labor, travel, and third‑party vendors.
- Support Project Managers by tracking project milestones and following up on outstanding items.
- Learn how project budgets are managed and monitored.
- Assist with project pricing reviews, purchase orders, invoices, and change orders.
- Help maintain accurate project information within TEAM, including quotes, reservations, and orders.
- Support project close‑out activities.
- Participate in on‑site project execution whenever possible.
- Observe and assist Project Managers with client interactions, labor coordination, vendor management, and production activities.
- Promote a safe work environment by following company safety procedures.
- Participate in training opportunities designed to build project management skills.
- Learn how to balance client expectations and timelines.
- Gradually assume greater project responsibilities as experience and proficiency increase
Qualifications
- Bachelor's degree or equivalent experience preferred.
- Experience working in live events, entertainment production, event project management, or event operations.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office applications.
- Ability to prioritize multiple tasks in a fast‑paced environment.
- Comfortable learning new technology and business systems.
- Willingness to travel and work flexible hours as project schedules require.
- Valid driver's license.
- Must be able to remain in a stationary position for extended periods of time.
- Extensive typing required.
- The employee may occasionally lift and/or move up to 20 pounds.
- Travel as needed by car and plane to different PRG Branches and job sites.
- Must be able to communicate effectively by listening and in both written and verbal forms.
