Direct Travel is seeking an Associate Program Manager to assist in planning meetings and incentives in an entry-level administrative capacity. You will work closely with clients and a team of program managers, reporting to the team operations manager.

The role involves data entry in Cvent, attendee management, travel arrangements, and drafting program documents. You will contribute to timelines, reports, and vendor negotiations while supporting client service standards.

Qualifications

  • Bachelor’s Degree required, preferably in Business, Hospitality, Event Planning or related field
  • Proficiency in Word, Excel and PowerPoint
  • Knowledge of Teams, SharePoint, OneDrive and Zoom or similar collaboration tools
  • Ability to reflect the organization’s Vision and Core Beliefs
  • Excellent interpersonal, organizational and communication skills
  • Ability to maintain confidentiality

Responsibilities

  • Ensure accurate and timely data entry into Cvent
  • Manage website registration sites, databases and attendee management
  • Orchestrate Travel Arrangements for Attendees
  • Draft program documents and communication for programs
  • Draft timelines for meetings and incentives
  • Prepare close-out reports for client service requirements
  • Draft post-conference reports
  • Manage expense reimbursements and vendor payment requests
  • Negotiate vendor agreements to support the event budget
  • Travel onsite for program execution as needed
  • Independently manage limited-scope programs
  • Flexibility for extended workdays and weekends
  • Access during project-specific hours
  • Frequent computer and office equipment use

Job description

Associate Program Manager will be responsible for assisting and contributing to planning meetings/incentives in an entry level and administrative role.

This role will work closely with clients and a team of program managers and report to the team operations manager.

  • Ensure accurate and timely data entry into Cvent
  • Manage website registration sites, databases and attendee management
  • Orchestrate Travel Arrangements for Attendees
  • Draft program documents and communication for programs
  • Draft Timelines for meetings and incentives
  • Prepare close out reports as it pertains to our client service requirements.
  • Draft Post Conference or Meeting History Reports
  • Manage the expense reimbursement process and vendor payment requests
  • Negotiate agreements and terms with vendors for the health of the event budget
  • Demonstrate industry knowledge by contributing effective ideas
  • Travel onsite for program execution for meetings as needed
  • Independently manage limited scope programs

REQUIREMENTS:

  • Bachelor’s Degree, preferably in Business, Hospitality, Event Planning, or a combination of education and work experience required, preferably in event planning
  • Proficiency in Microsoft Word, Excel, and PowerPoint
  • Knowledgeable in Microsoft Teams, SharePoint, One Drive, Zoom and other collaboration tools
  • Must be able to behave in a manner that reflects our organization’s Vision and Core Beliefs
  • Must possess excellent interpersonal skills to be able to provide superior customer service
  • Must possess excellent organizational and project management skills
  • Must possess strong verbal and written communication skills
  • Must be able to maintain confidentiality
