Job summary

OnePeak Medical is seeking an Assistant Practice Manager to oversee daily clinic operations and support the Practice Manager in delivering patient-centered care. You will lead front- and back-office staff, coordinate schedules, ensure HIPAA compliance, and drive improvements across clinical services to optimize patient wellbeing.

You will coach teams, manage performance, and collaborate with providers to maintain high standards of care in a fast-paced environment.

Qualifications

  • High school diploma or equivalent is required.
  • 1 year of lead or supervisory experience (preferably in Primary Care) is required.
  • Current BLS and/or CPR/AED Certification is required.
  • Recent Medical Assistant experience (min 6 months) is strongly preferred.
  • Associate degree in a medical field is strongly preferred.
  • CMA (Certified Medical Assistant) Certification is strongly preferred.
  • CPT (Certified Phlebotomy Technician) Certification is strongly preferred.

Responsibilities

  • Manage day-to-day operations of the clinic with patient-centered workflows.
  • Ensure staff complete all assigned tasks before the end of each shift.
  • Partner with Practice Manager on staff issues and conflicts.
  • Maintain open communication with staff and providers.
  • Provide backup coverage to front and back office as needed.
  • Maintain accurate provider waitlists for booked-out providers.
  • Ensure staff breaks and time off per policy.
  • Monitor and prevent unapproved overtime; cover shifts as needed.
  • Execute duties in the EHR/EPM system per protocols.
  • Maintain clean, safe, and professional clinic space.
  • Coordinate inventory with PM to maximize store-wide opportunities.
  • Scrub schedules and optimize staffing regularly.
  • Reinforce OnePeak operational standards and cadence.
  • Provide coaching and accountability for performance and growth.
  • Perform other duties as assigned.

Reporting to the Practice Manager, the Assistant Practice Manager provides the day-to-day, hands-on leadership presence within the clinic and serves as the Practice Manager's primary partner in daily execution — keeping the clinic running smoothly, staff supported, and patients well cared for.

RESPONSIBILITIES AND DUTIES:
  • Successfully manage the day-to-day operations of the clinic, ensuring smooth, efficient, and patient-centered workflows
  • Ensure Medical Assistants and Front Desk staff complete all assigned tasks before the end of each shift; enlist help or support to close out any incomplete items
  • Partner with and promptly involve the Practice Manager in staff issues, conflicts, or concerns
  • Maintain ongoing, open communication with staff and providers — checking in, offering support, and addressing questions or concerns as they arise
  • Provide backup coverage and support to the front and back office as needed
  • Ensure the front desk maintains an accurate waitlist for any provider booked out two weeks or more
  • Ensure all staff receive appropriate breaks and time off in accordance with policy
  • Monitor and prevent unapproved overtime, stepping in personally to cover shifts when necessary
  • Perform all duties and responsibilities within the EHR/EPM system in accordance with standardized protocols
  • Maintain the clinic's office space and facility to a clean, safe, and professional standard
  • Ensure Nutrition & Fitness staff and Medical Assistants prepare patient charts at least one day in advance
  • Partner with your PM in inventory management and the ordering cycle to assure maximization same store sales (SSS) opportunities in each clinic
  • Regularly verify schedule with frequent scrubbing and support ongoing schedule optimization
  • Support the Practice Manager in reinforcing OnePeak's operational standards and MESS cadence
  • Provide coaching, feedback and accountability for performance, engagement and professional growth for your team members
  • Perform other duties and responsibilities as assigned

  • Be available to drive on occasion (up to one hour one-way to other clinics) as needed
EDUCATION AND EXPERIENCE
  • High school diploma or equivalent — Required
  • Minimum of 1 year of Lead or Supervisory experience (preferably in Primary Care) — Required
  • Current BLS and/or CPR/AED Certification — Required
  • Recent Medical Assistant experience, minimum of 6 months — Strongly Preferred

Salary Range for this Role

$56,100 - $66,000 USD
