HYBE America is seeking an organized Assistant, Merchandising to support the Merchandising team and coordinate cross-functionally in a fast-paced, confidential setting. The role centers on anticipating needs, managing priorities, and enabling team growth.

Qualifications

  • 2–3+ years in an Executive Assistant, Coordinator, or administrative role.
  • Experience in music, entertainment, or media preferred.

Responsibilities

  • Provide high-level administrative and operational support to the executive, acting as a trusted partner.
  • Own complex, high-volume calendar management and meeting coordination.
  • Serve as primary contact for inquiries, representing the Executive and HYBE America.
  • Coordinate internal communications across Nashville team and HYBE America.
  • Schedule and manage domestic/international travel logistics.
  • Plan meetings, offsites, events with budget discipline.
  • Prepare agendas, briefing materials, and follow-ups.
  • Manage executive email, track action items, and ensure deliverables.
  • Handle confidential information with discretion.
  • Coordinate office and audio setup with internal teams and vendors.
  • Collaborate with cross-functional teams on priorities and artist workflows.
  • Track initiatives and support special projects as needed.
  • Process expenses, invoices, and approvals with organized records.
  • Maintain a collaborative, positive attitude in a fast-paced environment.

Position Overview

We are seeking a highly organized and proactive Assistant, Merchandising to support the day-to-day operations of the Merchandising team, while also playing an active role in cross-functional coordination and business execution. This role sits at the center of a fast-moving, creative, and highly confidential environment and requires someone who can operate as a true right hand by anticipating needs, managing priorities, and enabling the team to focus on organizational transition, team design, and growth.

The ideal candidate has extensive experience supporting executive teams in music, entertainment, or adjacent creative industries and thrives in a high-volume, high-judgment role where no two days look the same.

In this role, the Assistant Merchandising will serve as a key point of coordination across leadership, internal teams, and global partners, ensuring that the team’s priorities, meetings, and business initiatives are executed smoothly and on time.

This is a full-time, hybrid role based in our Santa Monica office, with in-person collaboration 3 days per week and remote work 2 days per week. Candidates must be based in or willing to relocate to the greater Los Angeles area at their own expense prior to their start date — we are not offering relocation assistance for this role, though it may be considered on a case-by-case basis for select candidates.

Key Responsibilities
  • Provide high-level administrative and operational support to the exec, acting as a trusted partner and gatekeeper while anticipating needs, managing priorities, and adapting to shifting demands
  • Own complex, high-volume calendar management and meeting coordination across internal leadership, artists, managers, and external partners
  • Serve as the primary point of contact for internal and external inquiries on behalf of the exec, representing the Executive and the company with professionalism, sound judgment, and strong follow-through
  • Serve as a central point of coordination for internal communications with Nashville team and shared services across HYBE America
  • Coordinate domestic and international travel, including itineraries, visas, accommodations, and on-the-ground logistics
  • Plan and administer meetings, offsites, and events, ensuring seamless logistics and budget discipline.
  • Manage meeting preparation, agendas, briefing materials, and follow-ups to ensure timely execution of decisions and action items
  • Manage the Executive’s email correspondence, track action items, and ensure priorities and deliverables move forward smoothly and on time
  • Handle highly sensitive and confidential information with discretion and professionalism at all times
  • Coordinate office and audio setup needs in partnership with internal teams and vendors, supporting day-to-day workflow and on-site functionality
  • Partner closely with cross-functional teams across the business to support priorities and artist-related workflows
  • Track key initiatives, decisions, and deliverables across projects and support special projects, strategic initiatives, and ad hoc requests as needed
  • Process expenses, invoices, and approvals accurately and in a timely manner, maintaining organized digital and physical records
  • Bring a collaborative, team-oriented, and positive attitude to a fast-paced, high-expectation environment
Qualifications
  • 2–3+ years of experience in an Executive Assistant, Coordinator, or administrative role
  • Prior experience in the music, entertainment, or media industries strongly preferred
  • Proven ability to manage multiple projects and competing priorities with minimal supervision
  • Highly professional with excellent judgment, discretion, and integrity
  • Ability to thrive in a dynamic, fast-paced environment with frequently shifting priorities
  • Proactive and anticipatory approach to work, with a strong sense of ownership
  • Exceptional attention to detail and strong organizational skills
  • Comfortable taking accountability, receiving constructive feedback, and adapting quickly to change
  • Strong general business acumen with a genuine interest in the music and entertainment industry
It’s a bonus if you have
  • Bilingual or multilingual capabilities in Korean, Japanese, or Spanish
  • Prior experience supporting executives or teams within the K-pop, Hip-Hop and R&B, and/or Country music space, or a strong understanding of these landscapes

Salary Range

The salary range for this job is $65,000 to $72,000. This is a good faith effort at the time of posting. This range is base salary only and does not include benefits and any other compensatory components of the role.
