Job summary

Overview

Tisch Library is a student-centered research library, dedicated to supporting teaching, learning, and scholarship in Tufts’ School of Arts & Sciences and School of Engineering. We provide collections, subject expertise, and technology-rich research and learning environments with services and programs to meet the information needs of our students, faculty, and staff.

What You'll Do

The Assistant Manager supports the administrative, financial, and operational functions of the Director's Office. This position contributes to the effective day-to-day operation of the library through payroll administration, budget support, facility coordination, staff supervision, and a range of administrative responsibilities that ensure efficient and responsive operations.

Working closely with library leadership and campus partners, the Assistant Manager, Director's Office coordinates activities across financial, facilities, and personnel functions and serves as a resource for administrative processes and operational workflows. The position supervises administrative and student employees, supports library-wide initiatives and communications, and contributes to the continuous improvement of operations.

  • Supervise staff, including assigning work, supporting employee development, monitoring performance, and fostering a collaborative, service-oriented workplace.
  • Manage payroll for staff and student employees, ensuring accuracy, compliance, and timely resolution of issues.
  • Monitor budgets, expenditures, and financial transactions; assist with planning, forecasting, reporting, and invoice processing.
    Maintain confidential personnel, payroll, and financial records in accordance with university policies.
  • Serve as the primary liaison with Facilities Management to coordinate routine and emergency building maintenance, repairs, and projects. Monitor conditions, track work orders, maintain documentation, and share updates to library leadership.
  • Develop, document, and improve administrative procedures and operational workflows to increase efficiency and support organizational goals. Contribute to continuous assessment and improvement of processes, communication, and customer service.
  • Recruit, train, schedule, and supervise student employees, including oversight of payroll, scheduling, coaching, and performance feedback.
  • Support library projects, events, and operational initiatives.
  • Participate in committees and contribute meeting minutes and documentation as assigned.
What We're Looking For
Basic Requirements:

Knowledge and experience typically acquired by:

  • Bachelor's Degree
  • 3+ years experience
  • Demonstrated experience supporting payroll, budgeting, financial transactions, or accounting processes
  • Experience coordinating administrative operations and managing multiple priorities simultaneously
  • Excellent organizational, analytical, and problem-solving skills
  • Strong written, verbal, and interpersonal communication skills
  • Ability to build productive relationships with colleagues and partners from diverse backgrounds
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion
  • Competence using office productivity software and administrative systems
  • Ability to work independently while contributing effectively within a collaborative team environment
  • Strong attention to detail with commitment to continuous process improvement
Preferred Qualifications:
  • Supervisory experience
  • Experience in higher education or a comparable complex organization
  • Experience supporting facilities or building operations
  • Experience developing operational documentation and administrative procedures
  • Familiarity with library operations or academic support environments
Pay Range

Minimum $55,600.00, Midpoint $69,500.00, Maximum $83,400.00

Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
