Job summary

Base State Longevity Aspen is seeking an Experience Coordinator to lead front-of-house operations in our Aspen wellness studio, greeting clients and managing check-ins with a warm, high-end touch.

You will educate guests on modalities, optimize scheduling, oversee inventory and retail, assist Mobile IV coordination, train new staff, and help resolve daily issues to sustain exceptional service for a discerning client base.

Qualifications

  • High school diploma or equivalent required; college degree preferred.
  • Minimum 2+ years in luxury hospitality, boutique wellness, or clinical concierge settings.
  • Proven leadership potential in team settings.
  • Exceptional communication and client service for high-net-worth clients.
  • Proficient with scheduling and retail platforms.
  • Organizational skills and ability to multitask on a busy floor.

Responsibilities

  • Elevated Front Desk Leadership: greet clients, manage check-ins/outs, and maintain a welcoming studio.
  • Client Concierge & Education: educate clients on modalities and recommend packages.
  • Modality Turnovers: clean, sanitize, and reset suites between appointments.
  • Booking & Schedule Management: optimize scheduling flow via booking software and handle inquiries by phone/email/text.
  • Daily Floor Supervision: support front-of-house staff during peak hours.
  • Inventory & Retail Management: monitor stock and assist with orders/restocking.
  • Mobile IV Coordination: assist dispatch and scheduling; prep equipment.
  • Team Training & Scheduling: onboard/train new Coordinators; manage shift rotations.
  • Operational Reporting & Issue Resolution: address feedback and resolve day-to-day issues.

Key Responsibilities
Client Experience & Front-of-House (Coordinator Duties)
  • Elevated Front Desk Leadership: Warmly greet clients, manage check-ins/outs, and maintain a pristine, welcoming, and high-end studio environment.
  • Client Concierge & Education: Educate clients on our modalities (saunas, plunge, hyperbaric, red-light, IVs), answer membership inquiries, and recommend personalized packages/services.
  • Modality Turnovers: Ensure contrast-therapy suites, hyperbaric chambers, and red-light areas are immaculately cleaned, sanitized, and reset promptly between appointments.
  • Booking & Schedule Management: Master our booking software to optimize scheduling flow, prevent bottlenecks, and handle client inquiries via phone, email, and text.
Leadership & Administrative Operations (Assistant Manager Duties)
  • Daily Floor Supervision: Support front-of-house staff and coordinators, step in during peak hours, and ensure high standards of customer service across all touchpoints.
  • Inventory & Retail Management: Monitor stock levels for medical supplies, retail wellness products, linens, and suite amenities; assist with purchase orders and restocking.
  • Mobile IV Coordination: Assist in dispatching and scheduling Mobile RN house calls, ensuring equipment kits are prepped and travel logistics run smoothly.
  • Team Support & Training: Assist in onboarding and training new Experience Coordinators; help manage team shift schedules and break rotations.
  • Operational Reporting & Issue Resolution: Handle client feedback or service hiccups with poise, escalating complex matters to the Studio Manager while resolving day-to-day operational needs.
Qualifications & Skills
  • Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Hospitality, Health Sciences, or a related field preferred.
  • Experience: 2+ years of experience in high-end hospitality, luxury spa/wellness, boutique fitness, or clinical concierge management.
  • Leadership Potential: Prior experience as a team lead, supervisor, or senior coordinator looking to take the next step into management.
  • Customer Service Excellence: Exceptional communication, empathy, and polished demeanor tailored to high-net-worth and wellness-focused clients.
  • Tech-Savvy: Tech-forward with experience using scheduling/retail platforms.
  • Operational Agility: Highly organized, detail-oriented, and capable of multi-tasking on a fast-paced floor without losing composure.
  • Passion for Wellness: A genuine enthusiasm for longevity science, biohacking, functional medicine, and holistic living.
