Job summary

Suffolk University’s Office of Graduate Admission relies on Slate CRM and Workday Student to manage the full prospect-to-enrollment lifecycle for the College of Arts & Sciences and the Sawyer Business School. The Assistant Director, Graduate Admission Systems serves as the technical owner of these platforms, guiding configuration, data integrity, imports, and reporting.

Qualifications

  • Bachelor's degree or equivalent combination of education and experience.
  • 5-7 years of experience administering a CRM (Slate preferred) and/or a student information system in higher education.
  • Direct hands-on experience configuring Slate: rules, workflows, forms, portals, and communication modules.
  • Proficiency troubleshooting complex data and configuration issues.
  • Experience with Workday Student including data imports, integrations, and reporting.
  • Ability to translate operational needs into system configurations and solutions.

Location: Boston, MA Position Type: Full time

Suffolk University's Office of Graduate Admission relies on twoenterprise systems - Slate CRM and Workday Student - to manage thefull prospect-to-enrollment lifecycle for the College of Arts &Sciences (CAS) and the Sawyer Business School (SBS). The AssistantDirector, Graduate Admission Systems is the office's dedicatedtechnical owner of these platforms: the primary Slate administratorand the office's point person for Workday Student configuration,data integrity, and integrations. The Assistant Director, Graduate Admission Systems owns thetechnical infrastructure staff work within - rules, workflows,forms, imports, integrations, document management, and reporting -and partners closely with University IT, Office of InstitutionalResearch, the Registrar, Financial Aid, International StudentServices, INTO Suffolk, and Slate/Workday vendor resources to keepboth systems accurate, current, and aligned to the office'srecruitment and enrollment strategy. This role is well suited to a systems-minded admission orenrollment professional who wants to specialize technically and whocan operate independently as the subject-matter expert on bothplatforms.

Responsibilities
Slate CRM Administration & Configuration
  • Serve as primary Slate administrator for the Office of GraduateAdmission: owns rules and updates them as programs, terms, andpolicies change.
  • Build and maintain portals, forms (RFI, application,application-review), and event templates.
  • Manage the annual cycle refresh (rounds, retention policymaintenance, Grad Source Format checks).
  • Own configuration for workflows, including source origins thatfall out of the typical graduate degree admission review.) Manageapplication-change workflows (and troubleshoot day-to-day Slateissues escalated by the admission and operations teams.
  • Manage source formats for the graduate programs, includingvendor imports and operational types.
  • Provide Financial Aid Office support for decision validationand reporting needs drawn from Slate.
  • Reconcile data between Slate and the INTO Suffolk applicationsystem (Salesforce) and manage the flow of applications between thetwo systems; serve as the technical point of contact for changes toprograms or admission requirements communicated to INTO.
  • Develop and implement a data-integrity testing strategy forSlate, distinct from routine QA reporting, to catch configurationand data errors before they reach production.
  • Maintain internal Slate documentation so configurationdecisions and standard operating procedures are preserved beyondany one person's institutional knowledge.
  • Integrate CRM document management with Perceptive ImageNow,ensuring application documents and records are captured, indexed,and accessible in accordance with University document-managementstandards.
Workday Student Administration & Data Integrity
  • Serve as the office's primary point of contact for WorkdayStudent functions relevant to graduate admission: applicationgroupings, user provisioning, workflow and business-processupdates, and end-of-cycle wrap-up.
  • Manage Workday import processes, including ISSO/SEVIS dataloads, ensuring accurate data handling during peak importperiods.
  • Resolve duplicate records and other data-integrity issues inpartnership with Admissions Operations, University IT and theRegistrar's Office; run and review QA reports on a recurringbasis.
  • Maintain awareness of Workday integration schedules andescalate service needs (e.g., integration updates) to University ITas required.
  • Identify and document a backup/succession plan for Workdaypermissions specific to this role, so graduate admission is never asingle point of failure on Workday access.
Reporting, Documentation & Process Improvement
  • Build and maintain ad hoc and recurring Slate and Workdayreports for the Senior VP of Enrollment Management, Director,Associate Director, and operations team, including pre-buildingstandard reports ahead of each admission cycle.
  • Partner with the Director to develop a core library ofqueries/reports that reduces day-to-day dependence on this role forroutine data requests.
  • Document Slate and Workday procedures and keep documentationcurrent as configuration changes.
  • Recommend and implement process improvements that reduce manualwork for the admission and operations teams, replacing manual stepswith system-driven solutions where feasible.
Training & Office Contributions
  • Train Graduate Admission staff on Slate and Workdayfunctionality relevant to their roles; serve as a resource forsystem questions.
  • Participate in office-wide systems initiatives andcross-departmental projects (e.g., Financial Aid, InternationalStudent Services, Registrar) as assigned by the Director.
  • Support and staff marquis admission events as needed.
  • Other duties as assigned.
Qualifications
Required
  • Bachelor's degree from an accredited institution, or equivalentcombination of education and experience.
  • 5-7 years of experience administering a CRM (Slate stronglypreferred) and/or a student information system in a highereducation setting.
  • Direct, hands-on experience configuring Slate: rules,workflows, forms, portals, and communication/event modules.
  • Working technical proficiency to troubleshoot and resolvecomplex data and configuration issues.
  • Experience with Workday Student or a comparable SIS (e.g.,Banner, PeopleSoft), including data imports, integrations, andreporting.
  • Demonstrated ability to translate operational needs fromnon-technical staff into system configuration and solutions.
  • Strong data-integrity discipline: experience with duplicateresolution, QA reporting, and audit processes.
  • Excellent written communication skills, including the abilityto produce clear documentation and training materials fornon-technical users.
  • Ability to work independently as a subject-matter expert whilecollaborating across admission, IT, financial aid, and registrarfunctions.
  • This position may require travel as well as evening and weekendwork.
Preferred
  • Experience specific to graduate admission cycles,merit/financial aid workflows, or international student processes(SEVIS/ISSO).
  • Slate certification(s) or Workday Student certification/Procredential.
  • Experience serving as a functional liaison between an admissionoffice and University IT or a vendor support team.
  • Familiarity with SEVIS/ISSO reporting requirements andinternational partnership integrations (e.g., INTO).
  • Experience with a document management system (e.g., PerceptiveImageNow) integrated with a CRM or SIS.

The salary range for this role is $69,000 - $83,000.SalaryTransparencySuffolk University provides salary ranges as a good faithestimate of what it reasonably expects to pay for a role at thetime the position is posted. The actual salary offered to theselected candidate will depend on various factors, including, butnot limited to, the position’s scope and responsibilities, thecandidate’s experience, education, training, and applicable legalrequirements. The listed pay range reflects base salary only anddoes not include additional benefits or compensation.
