Job summary

Chapman University in Orange, CA, seeks an Assistant Director of Admission Operations/CRM to lead Slate system management for undergraduate and graduate admissions teams. You will oversee application processing, cycle prep, and data-driven optimization of workflows.

You will collaborate with Marketing and Communications, create and maintain Slate portals, and train staff on new features and reporting. This role is on campus with a focus on process improvement and data integrity.

Qualifications

  • Bachelor’s degree, or equivalent combination in education and experience.
  • A minimum of 2-3 years professional experience in an admissions office.
  • Demonstrated knowledge of admissions and CRM systems including report writing and analysis.
  • Minimum two years experience in the Technolutions Slate system and expertise in Slate Portals including these graphic design skills.
  • Working knowledge of HTML and CSS
  • Ability to create functional web portals utilizing industry best practices
  • Advanced knowledge of Adobe Creative Cloud tools (Photoshop/Illustrator/InDesign)
  • Strong writing and communication skills

Responsibilities

  • Facilitate sharing of data related to the evaluation process of campaigns for decision making.
  • Create and maintain Slate applications and assist with management of integrated CAS applications.
  • Coordinate with Admission staff to plan annual changes and configure updates during Cycle Prep.
  • Assist with managing the processing of applications during the admission cycle.
  • Assist with setup of checklists and rules for application processing and create documentation.
  • Collaborate with Admission Communications and Admission Counseling teams on status page configuration and feature exploration.
  • Support functional users with queries, reports and forms in Slate and assist with system integrations with third-party software.
  • Serve as lead in setup and management of the Reader Module in Slate, including Reader Bin structures and documentation.
  • Identify and recommend new Slate features to enhance new student enrollment; support implementation with training and testing.

Chapman University is required to provide a reasonable estimate ofthe compensation range for this position. This range takes intoaccount a variety of factors that are considered in makingcompensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and otherbusiness and organizational needs. Salary offers are determinedbased on the final candidate’s qualifications and experience, aswell as internal equity and other internal factors. Job Description Summary

The Assistant Director of Admission Operations/ CRM assists theDirector of Operations in developing and managing the TechnolutionsSlate system to support the Graduate and Undergraduate Admissioncounseling teams. Admission Operations creates and maintainsapplications, assists with the management of daily applicationprocessing, and overall maintenance of system functionality.

Responsibilities
Liaison with the Strategic Marketing and Communications team
  • Collaborate on the collection of leads in Slate related tomarketing campaigns
  • Facilitate the sharing of data related to the evaluationprocess of campaigns to aid in decision making for department andmarketing partners.
Create and maintain Slate applications and assist withmanagement of integrated CAS applications
  • Coordinate with Admission staff to plan annual changes
  • Configure updates during Cycle Prep
  • Assist with managing the processing of applications during theadmission cycle
  • Assist with managing set up of checklists and rules forapplication processing
  • Create and maintain documentation
Collaborate with Admission Communications and AdmissionCounseling teams
  • Update and maintain Application Status Page configuration forapplicants, admits, and incoming students.
  • Explore new features and optimization opportunities through theuse of Slate portals with various constituencies, includingstudents, parents, counselors, etc.
  • Support functional users in developing queries, reports, andforms across the instance of Slate
  • Support system integrations with 3rd party software for leadgeneration and record updates
Serve as lead in set-up and management of the Reader Module inSlate.
  • Collaborate with admission staff to create and maintain theReader review processes to maximize efficiency and maintain bestpractices as defined by Slate documentation
  • Create and maintain Reader Bin structure and associated systemset-up rules
  • Create and maintain documentation
  • Audit and trouble shoot the processes throughout the admissioncycle
Identify and recommend new functionality available in Slatewhich can be used to enhance new student enrollment
  • Research and share new features and opportunities for Slatethat can improve the student experience and/or internalprocesses
  • Support implementation of new features with documentation,testing, and staff training
Required Qualifications
  • Bachelor’s degree, or equivalent combination in education andexperience.

  • Demonstrated knowledge of admissions and CRM systems includingreport writing and analysis
  • Minimum two years experience in the Technolutions Slate systemand expertise in Slate Portals including these graphic designskills:
  • Working knowledge of HTML and CSS
  • Ability to create functional web portals utilizing industrybest practices
  • Ability to maintain brand consistency and Marketing departmentguidelines within Slate portals
  • Advanced knowledge of industry-standard layout and designsoftware (Adobe creative cloud/Photoshop/Illustrator/InDesign)
  • Designing graphic content, illustrations, and infographics
  • Strong typography, color, visual communication, and layoutskills
  • Familiarity with web design best practices (responsive design,grid layout, accessibility)
  • Ability to work effectively as a member of a team, but also beable to exercise initiative and work independently.
  • Strong analytical skills to evaluate data, assess alternatives,and make decisions and or recommendations.
  • Strong writing skills to prepare and proofread clear andconcise, grammatically correct business correspondence andmarketing materials.
  • Demonstrated effective written, oral, and interpersonalcommunication skills with the ability to interact effectively withall types of individuals at all societal levels.
  • Computer skills in the use of word processing, desktoppublishing, spreadsheet, database, internet and electronic email,preferably Microsoft Office.
  • Ability to use standard office equipment including copier, faxand calculator.
  • Strong technical skills to learn and use enterprise anddepartmental tools and systems.
  • Strong organizational and prioritization skills.
