Job duties include the following:
- Standard Office Hours: Monday – Friday 8:00 am – 5:00 pm however, work schedule will vary based upon event activity and will include days, nights, weekends, and holidays.
- Assist the Convention Center Manager in the overall management and supervision of the Virginia Beach Convention Center (VBCC)
- Serve as a duty manager overseeing all logistics to ensure the venue is meeting or exceeding all stakeholder expectations with respect to the facility and services being provided.
- Assist in being the primary point of contact and managing large events at VBCC
- Assist in being the primary point of contact and managing the booking and scheduling of events at VBCC
- Supervise the sales and marketing, booking and management of events at the VBCC
- Coordinate event services with VBCC business and operations departments
- Supervise City and contracted staff and services
- Meet with clients to provide information on facility services and advise clients regarding laws, rules and regulations relative to operations of various events
- Accurately communicate event and operational information to staff while ensuring delivery of quality services to customers
- Manage Momentus event management system as a power user to ensure event related information is entered accurately and timely
- Negotiate agreements with facility users
- Prepare contracts and manage collection of client contract documents
- Review and approve settlement reports for all completed events; review written reports on both operations and event related incidents
- Assist in the preparation and monitoring of the operating budget
- Supervise the hiring, scheduling and training of full time and part time staff and oversee contractual staff
- Provide leadership and supervision of marketing strategies for programs, events and services by coordinating with the Convention and Visitor Bureau’s Marketing and Communications Team and the VBCC’s exclusive food & beverages services provider
- Foster a good relationship with safety agencies such as VBPD, VBFD, EMS, Fire Marshal’s Office and Health Department. Ensure the VBCC’s emergency plan is continually revised and updated
- Write scope of work documents, secure contractors through municipal RFP process and act as contract administrator for contracted services (Audio Visual, Supplemental Event Staffing, Security, Medical, Law Enforcement and Telecommunications)
- Coordinate event schedules and related activities with the adjacent Virginia Beach Sports Center
- Serve on department and City-wide teams as industry representative
The ideal candidate will have:
- Experience managing a sales team within an Event Venue Management Environment
- Experience managing an event services team within an Event Venue Management Environment
Additional desired skills:
- Experience booking and scheduling database software and other available resources to accurately forecast and monitor revenues and expenses to help prepare the venue’s annual operating budget.
- Experience proficiently managing the use of venue booking database software ensuring that all useful and accurate information is captured and disseminated to staff and clients in a timely manner.
- Experience serving as the administrator for contracted services, including, but not limited to, venue security, event staffing, audio/visual, medical, law enforcement and telecommunications.
- Experience serving as a duty manager at a convention center, overseeing all logistics to ensure the venue is meeting or exceeding all stakeholder expectations with respect to the facility and services being provided.

Minimum Qualifications: Any combination of education (above the high school level) and/or experience equivalent to eight (8) years in fields such as Business Administration, Public Relations, or Marketing, utilizing the required knowledge, skills, and abilities.
Special Requirements: All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. Positions within this class have been designated as Alpha I positions requiring employees to work during inclement weather, regardless of the City’s operational status. Must complete training and obtain certification in First Aid/CPR/AED and Trained Crowd Manager by the end of the probationary period. Certifications must be maintained for the duration of employment in this classification.
