Job Responsibilities

Provides support to management in the overall operations of Community Association business and delivers exceptional customer service to owners, residents, clients, and vendors.

Essential Duties & Responsibilities
  • Provide exceptional customer service to clients and vendors at all times
  • Respond to inquiries and resolve questions or concerns promptly
  • Assist with daily financial management and recordkeeping
  • Assist with bid processes
  • Conduct regular site inspections as needed
  • Maintain all records in Connect, including work orders, resident information, association documents, and community info
  • Ensure proper maintenance of all files, records, and correspondence following company procedures
  • Attend all necessary Board meetings
  • Assist in preparing Board meeting agendas, monthly management reports, and other materials
  • Help establish an annual calendar of association activities and deadlines
  • Assist walk-in homeowners and refer to Community Manager when needed
  • Handle mailings as required
  • Maintain binders with agendas, modification requests, work orders, financials, etc.
  • Meet weekly with Community Manager to review open action items

Regular attendance and punctuality are essential functions for this role

  • Conduct business ethically and professionally
  • Perform operational tasks to maintain workflow and schedules; notify supervision of issues
  • Participate in meetings and work groups as needed
  • Follow all safety protocols and policies
  • Perform any other duties or projects as assigned
Supervisory Responsibility

This position does not require supervisory responsibilities.

Education & Experience
  • College degree or equivalent work experience required
  • Minimum of 2 years’ experience in customer service
  • Strong organizational and communication skills
  • Proficient in computer skills including email, Word, Excel, PowerPoint
Knowledge, Skills & Proficiencies
  • Excellent organization and project management skills
  • Exceptional interpersonal skills
  • Advanced written communication and Microsoft Office skills
  • Basic accounting and budgeting knowledge
  • Ability to handle multiple tasks under pressure
  • Ability to maintain detailed and complex records
  • Ability to work confidentially and develop good relationships
Tools & Equipment Used

Computer, peripherals, software applications, and office equipment.

Physical Requirements / Working Environment

The role involves sitting, standing, lifting up to 25 lbs, driving, and walking on uneven surfaces. Must be able to work indoors and outdoors, extended hours, evenings, weekends, and holidays as needed. Reasonable accommodations will be made for disabilities.
