Associated Asset Management (AAM) is seeking a Community Manager for our Peoria Office to support HOA management and deliver exceptional homeowner services.

You will coordinate with boards, manage records, and assist with daily operations to maintain compliance and high performance across communities. This role requires strong communication, organization, and teamwork in a fast-paced environment.

Responsibilities

  • Provide administrative support to community managers in the west valley/Peoria office.
  • Coordinate with board and committee members to ensure compliance with governing documents.
  • Oversee minutes, records, and annual budgets preparation.
  • Assist in monthly financial processing and vendor communications.
  • Maintain calendars, deadlines, and office procedures.
  • Support in daily operations and PTO/vacancy coverage for communities.
  • Communicate with owners regarding compliance and maintenance items.

We are hiring a Community Manager for our Peoria Office!

We specialize in managing various residential communities, including master-planned, single-family, condominium, active adult, and urban high- and mid-rise properties. Our main responsibility is community management and delivering effective customer service, guided by a deep understanding of CC&Rs and management contracts.

Primarily responsible for assisting Area Manager and/or Community Manager(s) with the day-to-day operations of Homeowner Associations by providing effective customer service, administrative support, and other operational functions through in-depth knowledge of Covenants, Conditions & Restrictions (CC&Rs), other association governing documents, and management contracts.

Position Responsibilities
  • Provide administrative support to community managers assigned in the west valley/Peoria office.
  • Partner with AAM's management team to ensure compliance with city, state and federal association management laws.
  • Develop a working relationship with association board and committee members.
  • Oversee the compliance appeals process.
  • Oversee the exterior modification (architectural) review process.
  • Conduct routine tours of communities, as needed, to ensure compliance with the governing documents.
  • Attend and record minutes of board and committee meetings as needed or requested.
  • Communicate with owners concerning compliance and maintenance items.
  • Develop and maintain open communication with vendors/contractors.
  • Assist in the preparation and review of project proposals.
  • Assist in the update of association disclosure packages.
  • Assist in the association's monthly financial process.
  • Assist in maintaining accurate and current association records.
  • Maintain BoardVue daily with pertinent information for the community including tasks, disclosure documents, records, etc., ensuring tasks are completed or do not expire.
  • Assist in the draft and preparation of annual budgets.
  • Maintain deadlines for both association and governing document requirements and internal AAM initiatives.
  • Provide support to associations in the absence of their community manager due to PTO or vacancies.
  • Perform other duties as directed.
Knowledge, Skills & Abilities
  • Strong computer software and internet proficiency.
  • Excellent interpersonal skills including positive written and verbal communication abilities.
  • Ability to handle multiple tasks simultaneously, establish priorities and meet deadlines.
  • Exceptional organizational and tracking skills
  • Proficiency in utilizing Outlook.
  • Proven customer service experience, with a strong emphasis on problem resolution.
  • Ability to prepare and process high volumes of administrative and customer service tasks accurately.
  • Ability to function efficiently in a fast-paced environment.
  • Ability to interact and work positively and effectively with staff at all levels.
  • Advanced communication skills (both verbal and written), and the ability to communicate with all levels of management, staff, residents, board and committee members and vendors/contractors.
  • Ability to work collaboratively and cooperatively within the department as well as with other departments.
Physical Demands & Work Environment
  • Sitting and standing for moderate periods of time.
  • Utilizing personal automobile for commuting to and from assigned communities.
  • Walking or driving through communities to inspect common areas per management contract or as needed.
