Job summary

AFC Urgent Care Portland/Vancouver is seeking an Assistant Clinic Manager to support the Clinic Manager, drive efficient operations, and coach non-provider staff. You will balance clinical knowledge with business needs to ensure quality patient care and clinic profitability.

Responsibilities include scheduling, staff development, policy enforcement, revenue optimization, and KPI monitoring, while maintaining HIPAA/OSHA/BOLI compliance and engaging with leadership.

Qualifications

  • 2 years of medical industry experience, required. Urgent Care preferred.
  • 2 years of team oversight experience, required
  • Certified Medical Assistant experience/background, highly preferred
  • Associate’s degree in Business or a health-related concentration, preferred

Responsibilities

  • Assist with day-to-day management of the clinic; schedule review, staffing review, and flow evaluation and guidance.
  • Audit clinical practices and operations to ensure high-quality patient care; review roadblocks and create SOPs.
  • Schedule staff to ensure proper staffing metrics for all clinical staff (MA, Front Desk, LXMO, externs).
  • Collaborate with Clinic Manager to ensure proper staffing levels for Provider staff.
  • Hire, coach, and complete timely evaluation of performance for staff/direct reports.
  • Ensure onboarding/training is completed and check-ins with the training team and Clinical Manager.
  • Enforce company policies and procedures; model them.
  • Monitor supplies/inventory and ordering; communicate issues to teams.
  • Interface with billing to obtain optimal clinic revenue.
  • Investigate and resolve patient complaints; monitor KPIs (NPS, reviews).
  • Develop and implement strategies to improve patient care/flow.
  • Prepare daily deposits and perform weekly/monthly reconciliations.
  • Maintain HIPAA/OSHA/BOLI compliance at all times.
  • Attend meetings and trainings as requested by Director of Operations.

General Position Summary:

The Assistant Clinic Manager supports the Clinic Manager with facilitating operations, completing administrative tasks, and coaches/develops non-provider staff. The role combines the clinical and business aspects of healthcare to ensure the facility operates efficiently and provides quality patient care as clinically trained. They also collaborate with providers to ensure the clinic operates efficiently and profitably. Knowledge of medical practice, flow, and previous management of staff are required. Good communication, attention to detail, ability to motivate and effectively lead the team are essential skills.

Education and/or Experience Requirements:

2 years of medical industry experience, required. Urgent Care, preferred.

2 years of team oversight experience, required

Certified Medical Assistant experience/background, highly preferred

Associate’s degree in Business or a health-related concentration, preferred

Pay and Benefits:

Salary depends on years of experience

$64,000 –67,000 annual approximation

Performance-driven bonuses paid either monthly or quarterly

AFC covers the costs of medical care for employees, spouses, and dependents when using our AFC clinics for health services

401k at 1 year, with 3% Employer Contribution

3 Weeks of Paid Time Off

Schedules:

Full-time, ~40 hrs/week

Traditional Monday-Friday, with occasional weekends and evenings

Location:

Essential Functions/Major Responsibilities: The duties will be performed in accordance with policy and procedure, the standard of care, and in accordance with state certification. The essential duties and responsibilities include, but are not limited to, the following:

Assisting with the day-to-day management of the clinic; schedule review, staffing review, and flow evaluation and guidance.

Auditing clinical practices and operations to ensure high-quality patient care. Reviewing roadblocks and creating SOPs

Scheduling of staff to ensure proper staffing metrics are maintained for all clinical staff, including but not limited to Medical Assistants, Front Desk Assistants, Externs LXMO Staff

Collaborate with the Clinic Manager to ensure proper staffing levels for Provider staff

Hiring, monitoring, coaching, and completing timely evaluation of performance for staff/direct reports

Ensuring that staff is adequately trained and cross-trained where appropriate- to help cover FD or MA on lunches etc.

Ensure that staff complete onboarding process & do their check ins with training team and the Clinical Manager

Enforce company policies and procedures; and role model them

Monitor supplies including inventory and ordering, maintaining optimal levels per policy, and communicating to teams and providers when there are any ordering issues

Work with vendors and authorize invoices for supply orders

Interface with the billing department to obtain optimal clinic revenue

Investigate and resolve patient complaints.

Monitor all KPIs; including but not limited to Net Promoter Score (NPS) and Google reviews

Ensure that customer/ patient service needs are met

Develop and implement strategies to improve patient care/flow

Preparation of daily bank deposits and error tracking of payment collection process.

Complete and double-check daily reconciliation sheets for accuracy each week and at the end of the month

Maintains and manages HIPAA, OSHA, and BOLI compliance at all times

Attend company meetings and training as requested by the Director of Operations. May include offsite functions.

Secondary Functions:

Answer inbound telephone calls to the clinic.

Answer questions, transfer calls to providers and other clinics or office headquarters if appropriate, and facilitate new and rescheduling of appointments using appropriate software systems (currently Clockwise and Experity).

Perform other job-related duties as directed by management

Supervisory Responsibility: Assistant Clinic Managers are responsible for the coaching, and evaluation of non-provider staff working within their clinic. This position will generally have between 5 and 10 direct reports trained in either Medical Assisting or Administrative Support.
