Job description

Ellicott City Healthcare Center, a member of the CommuniCare Family of Companies, is currently recruiting for an Assistant Business Office Manager to join our team.

Purpose/Belief Statement:

The Assistant Business Office Manager is responsible for maintaining CHS business office policies and assisting with A/R and Resident Funds. This role involves working as both a team member and leader to ensure work is accomplished and quality service is delivered. The position supports team members and leads in celebrating team successes, manages resources within their control, and assists others in resource management.

Job Duties & Responsibilities:

  1. Make daily deposits to the facility bank account.
  2. Review monthly statements for accuracy.
  3. Maintain up-to-date information with the Collection Blitz Log and Medicaid Pending Log weekly.
  4. Identify and assist with the preparation of adjustments, attach supporting documentation, and submit to the Executive Director for approval.
  5. Maintain monthly A/R duties.
  6. Post ancillaries, daily census activity, and daily cash (if applicable).
  7. Maintain an accurate bed hold utilization log.
  8. Notify residents/responsible parties at the start and end of bed holds regarding remaining days available in the calendar year.
  9. Assist with completing insurance forms as needed.
  10. Provide assistance with answering questions and providing information to families and residents.
  11. Assist with outbound mailings and ensure sufficient postage.
  12. Order office supplies for the entire building and control available resources.
  13. Maintain resident accounts.
  14. Attend and participate in scheduled training, education classes, and orientation programs to maintain and enhance quality of care.
  15. Perform other related activities as assigned or requested.
  16. Maintain and work within established departmental, center, and home office policies, procedures, objectives, quality improvement programs, and safety, environmental, and infection control standards.

Qualifications, Knowledge, Skills & Abilities:

  1. Prior work/life experiences, preferably in a healthcare setting.
  2. Prior supervisory experience and management training.
  3. Experience with related software applications.
  4. Thorough understanding of accounts receivable/collections, resident funds, and management of information systems.
  5. Ability to make independent decisions when circumstances warrant.
  6. Ability to deal tactfully with team members, staff, residents, family members, visitors, government agencies, and the public.
  7. Willingness to seek out and incorporate new methods and principles into practices.
  8. Basic computer literacy and skills.
