ACCOUNTABLE FOR

The Asset Manager is accountable for establishing, implementing, and overseeing a centralized enterprise‑wide asset accountability and inventory management program. This role is responsible for asset custody, lifecycle management, valuation, tracking, auditing, and control of organizational assets, including equipment, supplies, furnishings, technology, company property, and real‑estate related assets.

WORK SCHEDULE

Full‑time. Standard hours Monday through Friday during business hours; scheduling may vary based on operational needs, facility requirements, inventory projects, audits, asset transfers, emergency operational needs, and leadership directives. Occasional evening, weekend, or urgent availability may be required.

CLASSIFICATION

Full‑time, Non‑Exempt, hourly position.

COMPENSATION RANGE

$20.00 to $30.00 per hour, commensurate with experience, qualifications, asset management background, inventory control knowledge, logistics experience, technical proficiency, and demonstrated ability to manage enterprise‑wide asset accountability systems.

ANTICIPATED TRAVEL

SUMMARY OF POSITION RESPONSIBILITIES

The Asset Manager, also known as the Quartermaster, is responsible for creating, implementing, and maintaining an enterprise‑wide asset management and inventory control program for Enterprise Management Solutions, LLC and affiliated operations.

This position serves as the central authority for asset accountability, inventory accuracy, asset custody, issuance, transfers, returns, disposal, reporting, and audit readiness. The Asset Manager will establish asset control systems, conduct physical inventories, implement tagging procedures, maintain accurate asset records, and ensure company property is tracked and managed throughout its lifecycle.

The Asset Manager works closely with Accounting & Finance, Procurement, Facilities, Information Technology, Compliance, department leaders, temporary inventory staff, Virtual Assistants, and executive leadership to support asset visibility, financial reporting, capital planning, insurance documentation, and operational accountability.

SCHEDULED DUTIES AND RESPONSIBILITIES
  • Develop, implement, and maintain the organization’s enterprise‑wide asset management system, policies, procedures, and SOPs.
  • Create and maintain asset tagging systems using barcode, QR code, RFID, serial number tracking, or other approved methods.
  • Manage issuance, transfer, return, replacement, and disposal of supplies, equipment, technology, furnishings, and company property.
  • Select, implement, and administer enterprise asset management software and reporting tools.
  • Conduct periodic audits and reconcile inventory discrepancies.
  • Monitor asset lifecycle status, maintenance needs, repair history, replacement schedules, and disposal recommendations.
  • Prepare asset reports, inventory summaries, discrepancy reports, and audit documentation for leadership review.
  • Serve as the central point of contact for enterprise asset accountability and operational asset management.
  • Perform other related duties as assigned.
  • Ensure asset data is accurate, secure, organized, and accessible to authorized personnel.
  • Manage temporary inventory staff and coordinate with Virtual Assistants for administrative tracking, data entry, and reporting support.
  • Support budget forecasting, capital replacement planning, annual audits, and insurance reporting.
  • Collaborate with Accounting & Finance, Procurement, Facilities, IT, Compliance, and department leaders regarding asset tracking, reporting, and accountability.
  • Maintain accurate asset records, including acquisition costs, depreciation, replacement values, maintenance history, location, assigned user, and asset condition.
  • Establish and monitor chain‑of‑custody controls for organizational assets.
  • Conduct physical inventories across company facilities, departments, and operational units.
UNSCHEDULED DUTIES AND RESPONSIBILITIES
  • Respond to urgent asset accountability, inventory, equipment, supply, facility, or operational property concerns.
  • Investigate missing, damaged, transferred, unreturned, or improperly documented assets.
  • Coordinate with leadership and departments regarding urgent inventory discrepancies or asset control concerns.
  • Provide additional support during company moves, facility openings, program launches, property changes, or operational expansions.
  • Complete other related duties as assigned by executive leadership.
  • Assist with corrective action plans related to asset control, documentation gaps, custody concerns, or inventory inaccuracies.
  • Support unplanned audits, inspections, insurance requests, financial reporting needs, or compliance reviews.
  • Assist with unexpected asset transfers, equipment recovery, emergency supply needs, or urgent facility support.
PHYSICAL DEMANDS
  • Ability to travel to company facilities, offices, storage areas, and operational sites as needed.
  • Ability to sit, stand, walk, bend, reach, climb stairs, and use a computer or mobile device for documentation.
  • Ability to operate company‑owned vehicles for site inspections, asset transfers, or inventory‑related assignments when authorized.
  • Ability to communicate effectively with staff, vendors, department leaders, and executive leadership.
  • Ability to lift, carry, move, or transport supplies, files, equipment, or materials as needed.
  • Ability to conduct physical inventories, asset inspections, tagging, and equipment verification.
WORKING CONDITIONS
  • Work may take place in office settings, storage areas, company facilities, operational sites, residential program locations, and other assigned company properties.
  • Must be able to work in a fast‑paced environment with multiple priorities, deadlines, and asset control responsibilities.
  • Must maintain professionalism, confidentiality, accountability, and accurate documentation at all times.
  • May require occasional evening, weekend, or urgent availability based on asset transfers, audits, facility needs, emergency operations, or leadership requests.
  • Position requires in‑person work and periodic travel between facilities and operational sites.
COMPETENCIES AND SKILLS
  • Strong knowledge of enterprise asset management, inventory control, logistics, property accountability, and supply chain procedures.
  • Technical proficiency with asset management software, barcode systems, QR code systems, RFID tracking, serial‑based inventory systems, spreadsheets, and reporting tools.
  • Strong organizational, analytical, problem‑solving, and documentation skills.
  • Strong leadership skills, including project management, workforce coordination, temporary staff oversight, and cross‑department collaboration.
  • Understanding of acquisition costs, depreciation, replacement value, maintenance history, capital planning, and audit support.
  • Ability to work independently while remaining aligned with executive leadership direction.
  • Ability to manage confidential, financial, operational, and property‑related information with professionalism and discretion.
  • Ability to work with Accounting & Finance, Procurement, Facilities, IT, Compliance, and operational leaders.
  • Ability to identify inventory discrepancies and implement corrective action.
  • Experience with systems such as IBM Maximo, SAP EAM, Asset Panda, or similar asset management platforms preferred.
  • Ability to establish asset management systems, policies, SOPs, and chain‑of‑custody controls.
LEVEL OF EDUCATION / TRAINING / QUALIFICATIONS
  • Bachelor’s degree in Operations Management, Supply Chain Management, Facilities Management, Business Administration, Logistics, Accounting, or a related field preferred.
  • Minimum of 5 years of experience in asset management, logistics, inventory control, facilities operations, enterprise inventory management, property accountability, or a related field preferred.
  • Experience managing large inventories and coordinating with finance, accounting, procurement, facilities, or operations teams preferred.
  • Valid driver’s license with a clean driving record required.
  • Ability to operate company‑owned vehicles for site inspections and asset transfers when authorized.
  • Must be reliable, organized, detail‑oriented, and able to maintain accurate asset records.
  • Must demonstrate strong written and verbal communication skills.
  • Reliable personal vehicle required for periodic travel to facilities and operational sites.
  • Military Quartermaster, logistics, supply chain, or property accountability experience is a plus.
  • Experience implementing asset management systems from the ground up is highly preferred.
  • Equivalent experience may be considered in lieu of preferred education.
