Brief Job Description

Project Manager I- serves as project lead in support of the various functions and projects in Asset Management Office. Work includes but is not limited to providing support, coordinating with other agency program areas such RAS, state hospitals and state living centers for implementation of new enterprise virtual asset tracking (VAT) inventory system. Coordinates, plans and tracks project timelines, deliverables to ensure project completion. Coordinates with HHS agencies, stakeholders, and private external vendor for improvement development of VAT system and acceptance of changes. Monitors and tracks statewide annual inventory project and statewide use of VAT system for asset management related tasks and functions. Communicates, coordinates, and trains asset managementstatewide inventory coordinators and AMO team staff in daily job function use of asset management inventory system for task completion related to project implementation. Serve as subject matter expert for support to internal and external program area customer's inquiry for VAT RFID system. Ensures compliance with the Comptroller of Public Accounts policies and procedures for agency property management inventory processes. Prepare, review and provide special reporting related to program area key measures and inventory results data, used to maintain inventory systems and ensure updates are completed accordingly. Perform property management duties including asset tracking, tagging, inventorying and updating system asset records. Track and provide information related to project purchase orders to ensure project budget is upheld. Educate and provide guidance to asset custodians in their roles and responsibility related to asset care and custodianship. Assist in the program analysis and make recommendations to management and implement approved system development, procedural or policy changes to improve or comply with legislative changes. Keep records current and maintain asset management program files. Works under moderate supervision, with limited latitude for the use of initiative and independent judgment. Assist in other duties as needed.

  • Coordinates with asset management staff, internal and external program areas to ensure completion ofasset-related tasks and functions and provide statewide designated inventory coordinator role jobfunction training specific to asset management duties. 30%
  • Analyzes HHS Enterprise inventory system risks to make recommendations for system improvements and implement procedural or policy changes approved by management to improve operations andensure program compliance with legislative mandates. 10%Prepares, reviews, and provides management with specialized asset management reports providing status updates of asset management program area key measures to track task completion, projectbudgeted expenses, and ensuring management set program objectives and goals are met. 10%
  • Plans and conducts training for internal staff and/or statewide inventory coordinators for assetmanagement program-specific job duty roles and responsibilities related, but not limited to multi-agencyannual inventory, asset updates, asset tracking, and VAT RFID system use. 15%
  • Assist program management, in the review, recommendation, and development of the agency’s assetmanagement policies and procedures improvements and implementation of approved changes. 10%
  • Coordinates, performs, schedules, and conducts inventory spot checks with other program areasstatewide. Make recommendations to the program area to ensure compliance with asset managementstandards. Inventory, asset tag, and update asset records with results where needed. 10%
  • Serves as program area subject matter expert, in support of answering inquiries, troubleshooting, andasset management-related training for point of contacts, internal and external asset management customers. 15%
Knowledge, Skills and Abilities (KSAs)
Knowledge of
  • Knowledge of Asset Management programs, policies, and procedures; of the methods, principles, and practices of the agency.
  • Knowledge in asset related requisitioning and purchasing to ensure appropriate asset coding.
Skill in
  • Skilled in coordinating and managing inventory project activities involving various programs.
  • Skilled in use of computer and office software such as but not limited to Outlook, Word, Excel andAccess.
  • Skilled in use of automated inventory system performance and reporting generated.

Additional Information

This position involves physical activity, including lifting up to 50lbs, bending, stooping, and standing for extended periods. The work environment may include being outdoors, in an office setting and/or at a warehouse. Occasional travel is required to conduct inventory, and facility checks at various locations.
