Inside Out Hiring is seeking a proactive Executive Assistant to serve as the owner’s right hand across two art galleries and field operations. You will connect the owner, galleries, and private clients, taking ownership of tasks, logistics, and customer communications.

This full‑time role builds the operational framework with a task system (Slack/Asana), CRM (ArtCloud/ArtLogic), and dashboards to keep everyone aligned.

Qualifications

• Proven EA/Operations experience in a small business or startup environment.
• Proactive ownership and ability to follow through without micromanagement.
• Strong sales sense and business acumen.
• Technical and AI-savvy with CRM and workflow tools.
• Basic art terminology knowledge is a plus.
• Excellent interpersonal communication and teamwork.

Responsibilities

• Daily briefings with on-site staff; distribute tasks and ensure timely completion.
• Set up and manage a centralized task system (Slack/Asana) to reduce email clutter.
• Create SOPs and document procedures for scalable operations.
• Oversee CRM pipelines (ArtCloud/ArtLogic) and client data accuracy.
• Coordinate artwork deliveries, installations, events, and VIP outreach.
• Provide real-time updates to the owner and support growth initiatives.
