This is a broad, hybrid role that blends patient communication, scheduling, clinical documentation support, administrative assistance, and billing or insurance tasks. Virtual Assistants are cross‑trained generalists: the specific mix of responsibilities will vary by client placement, but every Virtual Assistant should be comfortable moving between patient-facing communication, back‑office administrative work, and detail-driven documentation. Your work ensures smooth operations and a dependable, welcoming experience for every patient and provider you support.
Handle inbound and outbound calls, voicemails, emails, and social media inquiries with professionalism and empathy. Resolve patient concerns and elevate complex issues as needed. Collaborate with US-based healthcare practices to manage inquiries and scheduling.
Schedule, confirm, and reschedule appointments using digital tools. Monitor daily schedules to ensure smooth patient flow. Coordinate with healthcare teams and practice staff to maintain timely operations.
Provide real‑time or near‑real‑time documentation support during patient encounters, when assigned to a scribe function. Accurately transcribe patient history, exams, and physician‑dictated notes into medical records. Record diagnoses, treatments, test results, prescriptions, and orders with precision. Maintain thorough, organized, and timely medical documentation.
Provide administrative support to practice leadership, including scheduling and correspondence. Maintain confidentiality and handle sensitive information with discretion. Assist with data entry and maintain organized documentation of patient and billing records. Support ad hoc administrative tasks to ensure operational efficiency.
Access payer web portals to retrieve and verify patients' current insurance details. Cross‑reference insurance cards and update patient accounts with current insurance information. Review claims, prepare invoices, and process insurance claims to support accurate, timely reimbursement. Provide chat‑based support for billing and insurance inquiries with a friendly, clear approach. Document all actions taken in both internal and client systems.
Make outbound calls to generate new patient leads, when part of the placement. Follow up on marketing inquiries and campaign leads.
1-2 years in customer service, call center, front desk, medical scribing, administrative, or medical billing/insurance roles (healthcare preferred). Sales or lead generation experience is a plus.
Strong verbal and written English communication. Empathy, emotional intelligence, and a patient-focused mindset. Proficiency in medical terminology is a plus for placements with clinical documentation. High attention to detail and organizational skills. Tech‑savvy with CRM systems, EMR/EHR systems, Microsoft 365, and scheduling or billing software. Ability to multitask and manage competing priorities across responsibilities. Discretion and confidentiality when handling sensitive patient information.
High school diploma or equivalent (additional training in customer service, healthcare, administration, or billing is a plus).
