Job summary

Ware Malcomb is seeking a Program Coordinator to support day-to-day operations across project development, design, preconstruction, and construction administration. You will collect, organize, and maintain project data from various stakeholders to support administrative, reporting, compliance, and documentation needs of active projects.

Qualifications

• 2+ years administrative or project support experience.
• Experience as Construction Administrator or Project Coordinator preferred.
• Proficiency with Microsoft Office Suite.
• Experience with ACC or Procore preferred.
• Experience with MS Project or Primavera preferred.
• Ability to learn new software quickly.
• Strong written and verbal communication.
• Ability to build collaborative relationships across teams.

Responsibilities

• Develop and maintain matrices, workflows, templates, and program documentation.
• Collect, process, organize, and maintain project data and docs.
• Coordinate project docs via ACC, dashboards, and e-sign tools.
• Support contract and fee administration; track changes and logs.
• Manage invoices, pay apps, and related docs; coordinate approvals.
• Assist PMs with submittals, RFIs, compliance docs, and change docs.
• Update dashboards and client portals to reflect current status.
• Provide responsive communication and high-quality customer service.
