Job summary

CCMC is seeking an Architectural Review Coordinator to manage the Architectural Change Application process and prepare Founder's Review Committee meetings. You will liaise between homeowners, the Founder's Review Committee, and the Design Review team to ensure compliance with community standards.

The role requires organizing and communicating complex architectural guidelines to homeowners, vendors, and committees, while supporting workshops and maintaining accurate documentation.

Qualifications

  • Experience in homeowner associations or community management operations.
  • Strong written and verbal communication with homeowners and committees.
  • Ability to manage time, prioritize tasks and organize documents.

Responsibilities

  • Handle walk-in traffic for submittals and inquiries.
  • Correspond with homeowners regarding submitted applications.
  • Assist with workshops to explain design guidelines.
  • Translate architectural concepts for non-experts.
  • Provide information and education on Design Guidelines.
  • Perform visual inspections for Design Review.
  • Interpret and enforce Design Guidelines.
  • Collaborate with homeowners to ensure compliance.
  • Create and maintain reports of reviews and inspections.
  • Prepare effective written communications.

Job description

We’re CCMC, a community management company specializing in master-planned communities. The Architectural Review Coordinator will execute the Architectural Change Application process based on the governing documents and prepare meetings for the Founder's Review Committee. This position will also serve as liaison between homeowners, and Founder's Review Committee and works in conjunction with the Design Review team.

Responsibilities Also Include
  • Handle walk-in traffic for submittals and inquiries
  • Handle correspondence to homeowners in response to their submitted applications
  • Assist with workshops or informational sessions to familiarize owners and vendors with design guidelines and expectations
  • Translate complex architectural concepts into straightforward language for non-expert audiences
  • Providing information, assistance, materials and education to homeowners regarding the Design Guidelines
  • Performing visual inspections of residential properties as needed for Design Review process
  • Interpreting and assisting in enforcing the Design Guidelines
  • Working effectively with homeowners to ensure compliance
  • Creating and maintaining accurate reports of review and inspections made
  • Preparing other effective written communications
The Ideal Candidate Should
  • Be motivated, a self-starter, flexible, detail-oriented, and have excellent people skills
  • Possess outstanding customer service, professional communication, organizational and leadership skills
  • Have experience in a homeowner association operation
  • Be highly organized with the ability to multi-task
  • Have working knowledge of architectural principles, community design guidelines, and community association operations preferred

Candidates should also have the ability to maintain good working relationships with Board and Committee members, staff, residents, volunteers and should have working knowledge of Microsoft Word, Excel Spreadsheets and the ability to learn and use VMS and Smartwebs.

If driving is, or becomes, a requirement of the role, it is required, at all times, that you hold a valid state driver’s license for the class of vehicle you are driving, maintain a clean motor vehicle report, and hold current automobile insurance at statutory limits. You must notify Human Resources immediately regarding any change to your motor vehicle standing. CCMC may periodically review motor vehicle reports to ensure compliance with these requirements.

The physical requirements can vary, but generally, they may include:

  • Mobility: Ability to walk the grounds long distances in various weather conditions.
  • Lifting and Carrying: Occasionally lifting and carrying supplies or equipment up to 25 pounds.
  • Extended Sitting or Standing: Capability to sit or stand for extended periods during meetings or events.
  • Manual Dexterity: Skills in using technology, including computers and mobile devices.
  • Driving: Ability to operate vehicle to perform certain job functions. (Please note: We will request and review an MVR at the time of hire and on a periodic basis thereafter to ensure that employees maintain a satisfactory driving status.)
