Arch Building Supply keeps contractors, builders, and homeowners supplied with the materials they need, and the Finance team keeps the business healthy so we can do it.
The AR/Collections Manager owns accounts receivable and collections end to end: making sure our customers are invoiced accurately, our credit decisions are sound, and cash comes in on time. This role reports directly to ownership and works closely with sales, the counter, and dispatch. It is built to grow: as the company scales, the right person will take on more of the finance functions. We are looking for someone who is firm but fair with customers, detail-oriented with numbers, and eager to build something bigger.
Position Responsibilities:
- Own the full accounts receivable cycle, including invoicing, cash application, customer statements, and aging reports, to keep the ledger accurate and current.
- Lead collections on past-due accounts through calls, emails, and payment plans, escalating to ownership or counsel when needed.
- Manage customer credit by reviewing new account applications, setting and adjusting credit limits, and placing or lifting account holds.
- Track and enforce mechanics' lien, notice, and contractor payment deadlines in coordination with ownership and legal counsel.
- Report weekly on key measures such as days sales outstanding, aging buckets, and cash collected, and recommend actions to reduce risk and bad debt.
- Reconcile the AR subledger to the general ledger and support month-end close alongside the outside accountant.
- Partner with sales, counter, and dispatch staff to resolve billing disputes, pricing questions, returns, and credits quickly.
- Document and improve credit, billing, and collections procedures and internal controls.
- Cross-train on accounts payable, payroll support, and month-end reporting, and help onboard and guide finance team members as the department grows.
Qualifications:
Required
- 3+ years of accounts receivable, credit, and collections experience, preferably in building supply, distribution, or construction.
- Strong working knowledge of AR and general ledger concepts, aging analysis, and account reconciliation.
- Proficiency with accounting or ERP software and advanced Microsoft Excel skills.
- Confident, professional communication and negotiation skills with customers of all sizes.
- Ability to work on-site in New York and to handle sensitive financial information with discretion.
Preferred
- Associate's or bachelor's degree in accounting, finance, or business.
- Fluent in Mandarian
- Familiarity with New York mechanics' lien and construction payment practices.
- Prior experience supervising or mentoring team members.
- Interest in growing into a broader finance leadership role.
