Program Summary

The National Science Foundation (NSF) manages the United States Antarctic Program (USAP). The USAP supports all U.S. scientific research and related logistics in Antarctica and aboard USAP vessels that operate along the continental margin and in the Southern Ocean. Science within the Antarctic research portfolio is chosen and funded by NSF and other Federal agencies, including NASA, NOAA, and the Department of Energy. The purpose of the Antarctic Science and Engineering Support Contract (ASESC) is to enable that science. All participants are responsible for maintaining a safe workplace and ensuring that safety is the highest priority. This includes compliance with all ASESC environmental health & safety, and quality assurance requirements.

Job Summary

The Transportation & Logistics Transition Assistant provides administrative and coordination support for transportation and logistics transition activities conducted across multiple locations, partners, and time zones. This role is responsible for maintaining schedules, tracking actions and documentation, supporting meetings, and ensuring accurate coordination of transition-related activities. The ideal candidate is highly organized, detail-oriented, and capable of managing competing priorities while supporting stakeholders across a geographically dispersed operation. Experience with logistics, supply chain, or transportation documentation is highly desirable.

Roles and Responsibilities
  • Provide administrative support for transportation and logistics transition activities and gateway workstreams.
  • Maintain schedules, action-item tracking, and document control processes.
  • Coordinate meetings, prepare materials, and capture meeting notes and follow-up actions.
  • Support reporting and communication activities across multiple time zones and stakeholder groups.
  • Ensure transition documentation is accurate, current, and properly maintained.
  • Assist with tracking milestones, deliverables, and transition progress.
Basic Qualifications
  • U.S. citizenship and the ability to pass a National Agency Check with Inquiries (NACI) background investigation.
  • Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field; equivalent experience may be considered in lieu of a degree.
  • 2+ years of administrative, project coordination, logistics, or operational support experience.
  • Experience managing schedules, documentation, and action-item tracking.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Ability to collaborate effectively with stakeholders across multiple locations and time zones.
Preferred Qualifications
  • Experience supporting transportation, logistics, supply chain, or operational programs.
  • Familiarity with logistics documentation, reporting, and tracking processes.
  • Experience coordinating meetings and supporting cross-functional teams.
  • Knowledge of project management or transition support activities.
  • Experience working in global or geographically dispersed environments.
