Job summary

The Municipality of Anchorage seeks an administrative support specialist for the Public Transportation department to ensure bus operator schedules align with hours worked and to support the dispatch team.

You will document, reconcile, and upload schedules, assist with leave requests, maintain records, and handle supplies and phone inquiries. Remote work may be considered after probation with management approval.

Qualifications

  • High school diploma, GED or equivalent and four years of related experience.
  • Associate's degree in Accounting, Business Administration, Computer Information Systems, Finance or similar discipline and two years of related experience.

Responsibilities

  • Document and reconcile daily bus operator schedules from the dispatch software.
  • Prepare weekly schedule uploads for operations.
  • Assist operations superintendent and dispatch leads with leave requests and schedule inquiries.
  • Maintain operations records and filing.
  • Coordinate and order operating supplies.
  • Answer and direct phone calls to appropriate personnel.
  • Assist in other administrative operations section tasks as assigned.

Monday through Friday - Variable AM start times (5/8 and 4/10 shifts)

Remote work schedule opportunities (telecommuting) may be considered after successful completion of probation, at the discretion of management and with the approval of the department head. Not all positions are eligible for remote work (telecommuting) per P&P 40-40.

Employees who are hired or rehired to any position shall be placed at the entrance pay step, and advancement from the entrance step to the maximum step within a pay grade shall be by successive steps.

This position provides administrative support to the operations dispatch team and department timekeeper to ensure bus operator schedules align with actual hours worked. Tasks include, but are not limited to the following: daily documenting and reconciliation of bus operator schedules from the dispatch software, preparing weekly schedule uploads; assisting operations superintendent and dispatch leads with bus operator leave requests and schedule inquiries; will maintain operations section records and filing; coordinate and order operating supplies; answer and direct phone calls to appropriate personnel; and assist in other administrative operations section tasks as assigned.

High school diploma, GED or equivalent and four (4) years of experience in the field related to the position.

OR

Associate's degree in Accounting, Business Administration, Computer Information Systems, Finance or similar discipline and two (2) years of experience in the field related to the position.

OR

Bachelor's degree in Accounting, Business Administration, Computer Information Systems, Finance or similar discipline and experience in the field related to the position.

Military Service Interview Preference

Veterans who wish to be considered for interview preference, as permitted in Municipal Personnel Rules 3.30.031 D, must attach to the application a copy of their DD Form 214, DD Form 256, NGB Form 22, or a letter from the US Department of Veterans Affairs, recognizing the person as a veteran. The attached documentation must show an honorable discharge or general (under honorable conditions) discharge. The minimum qualifications of the position must be met for preference consideration.

Individuals currently serving as a member in good standing in the National Guard or the organized military reserves who wish to be considered for interview preference, as permitted in Municipal Personnel Rules 3.30.031 D, must attach proof of current service to the application. Proof of current service can be shown by submission of a statement of service which, at a minimum, shows the full name, date of birth, Social Security Number, date service began, branch of service, rank, name of command providing the information, and unit of assignment. The statement of service must be on a form or letterhead of the individual’s command organization, and shows the name, signature, title, and contact information of the signer providing the statement of service. The minimum qualifications of the position must be met for preference consideration.
