Job summary

Yale Alumni Association in New Haven, CT, seeks a Program Coordinator to support SIGs informing volunteers and alumni groups globally. The role centers on communications, event coordination, and data maintenance in a hybrid work environment.

The ideal candidate will manage inquiries, support budgets, and help drive engagement across diverse alumni networks while coordinating logistics and travel for staff and speakers.

Qualifications

  • Excellent interpersonal skills and ability to engage diverse audiences.
  • Excellent oral and written communications, strong customer service via multiple channels.
  • Strong organizational skills, ability to meet deadlines and handle multiple projects.
  • Proficient with common IT tools; capable of learning new systems quickly.
  • Experience with relational databases, email tools, design tools, or event registration.

Responsibilities

  • Serve as the primary information contact for programs and events; answer questions about policies, registration, and involvement opportunities.
  • Oversee communications process for programs/events; draft templates and send targeted follow-ups to volunteers.
  • Use project management software to maintain data, troubleshoot issues, and track deadlines.
  • Handle day-to-day administrative tasks: ordering supplies, processing reimbursements, managing budgets and expenses.
  • Coordinate events: determine requirements, arrange logistics, manage registrations, customer service, and on-site support.
  • Provide travel support for staff and alumni volunteers/speakers including venue research, reservations, and expense processing.
  • Maintain event pages and send broadcast emails; post on social media related to SIG programs.
  • Update SIG data in the alumni database and export reports for staff.
